Overview The Department of Dermatology at Macon & Joan Brock Virginia Health Sciences at Old Dominion University is seeking a Referral Coordinator to join the team. The Dermatology Clinical Referral Coordinator is responsible for coordinating and managing patient referrals within a dermatology practice to ensure timely access to specialty care, procedures, and ancillary services. This role serves as a central point of contact between dermatology providers, patients, internal clinical teams, and external referring offices. The coordinator ensures referrals are accurately processed, insurance authorizations are obtained when required, and patients are guided efficiently through the dermatologic care continuum, including medical, surgical, and cosmetic services. Attention to detail, knowledge of dermatology workflows, and strong communication skills are essential to support optimal patient outcomes and clinic efficiency. Responsibilities Process referral orders, schedule patient appointments, and follow up with referring provider or specialist for completion of a referral order Obtain authorization for orders from insurance companies Process orders, schedule appointments, and follow up for specialty procedures in order to complete orders for imaging and other requested tests Review referral-tracking reports Instruct patients in preparation for specific testing and procedures Process online referrals via insurance company’s websites as well as manually written referrals Monitor, Update, and Finalize referrals in Work Queue Retrieve and Process messages from the referral voicemails left by providers and patients Back-Up front desk as needed. This includes but is not limited to checking patients in and out, collecting co-pays, insurance verification, checking patients out, and answering phones. All other duties as assigned Qualifications Minimum Qualifications and Skills: Must be knowledgeable of the various types of insurance carriers (ex. HMO, PPO). Customer service-oriented individual is required. Preferred Qualifications: Familiarity with Medical Terminology, ICD-10, and CPT preferred. Medical applications software (e.g., Epic, Allscripts, IDX, etc.) experience preferred. Experience in the process of authorization and eligibility for insurance is preferred.
