Overview Referral Coordinator Supervisor - Stony Brook CPMP Ambulatory Location: Commack, NY Schedule: Full Time Days/Hours: Monday - Friday; 8:00 AM - 4:00 PM Pay: $80,000 Our compensation philosophy aims to provide marketable compensation programs and to compensate employees based on relevant experience and education. The above salary range (or hiring range) represents Stony Brook CPMP’s good faith and reasonable estimate of the range of possible compensation at the time of posting Responsibilities SUMMARY: The Referral Coordinator Supervisor will work directly with the Assistant Director of Ambulatory Operations and the Senior Director of Ambulatory operations to ensure alignment with the strategic patient access goals of the health system. Ensuring timely, accurate, and patient-centered processing of referrals across all specialties and providers, this position will serve as a liaison between referring providers, specialists, patients, and support staff. The Supervisor, Referral Coordinator will work to enhance and streamline access to care and reduce service delivery delays. As the structure and scope of ambulatory operations at Stony Brook Medicine continues to evolve, it is anticipated that scope and assignments of this position may change accordingly. Job Duties & Essential Functions: Supervise and support a team of referral coordinators, including workload management, training, mentoring and performance feedback while maintaining their own active referral caseload. Serve as the primary point of escalation for complex or high-priority referral issues. Monitor daily referral queues, ensuring referrals are processed within established timeframes and quality standards. Collaborate with practice managers, providers, ambulatory operations leadership, and clinical teams to identify workflow inefficiencies and implement process improvements. Verify referral requirements based on insurance plans, provider preferences, and organizational policies. Coordinate incoming and outgoing referrals, ensuring all necessary clinical documentation is obtained and transmitted accurately. Communicate effectively with patients regarding referral status, appointment scheduling, insurance authorization. Track referral completion and follow-up to ensure continuity of care and documentation in the electronic health record (EHR). Audit referral data for accuracy, timeliness, and compliance with HIPAA and organizational policies. Generate and analyze referral reports to identify trends, bottlenecks, and opportunities for improvement. Ensure compliance with payer requirements for pre-authorizations and network referrals. Maintain strong working relationships with physicians, office staff, and external specialty offices. Participate in interdepartmental meetings to enhance communication between referral sources. Lead departmental meetings with the aspect of acting as a resource for administrative staff on referral procedures and standards. Qualifications Required Education & Qualifications: Associate degree in healthcare administration or related field. In lieu of degree 2 years of experience in medical office operations or referral coordination. Three (3) years of healthcare operations experience. Must be able to show highly developed organizational, problem-solving, interpersonal, and oral and written communication skills. Strong Word, Excel and Power point skills. Demonstrated commitment to patient confidentiality and quality service delivery. Preferred Qualifications: Bachelor’s degree in healthcare administration or related field. One year in a lead or senior coordinator role. Demonstrable experience with prior authorization requirements and referral processes. Prior use of Cerner electronic medical record and experience with Cerner Practice Management module a plus. Demonstrated skill in establishing and maintaining effective working relationships with physicians, executive management and staff.
