Description We are excited to announce an opening for a Referral Manager. As a Referral Manager you will be responsible for providing direct oversite and management of the referral process, coordinators, and supervisors. In addition, this role supports the individual primary care practices in the achievement of patient loyalty and strengthens the communication and coordination of care within our network of specialist providers. This position is also responsible for the development, implementation, innovation and evaluation of the referral process, clinical partners, and team members. Key Responsibilities: Responsible for the day-to-day management of the referral supervisors and coordinators. Participates in the hiring, performance management, team building and coaching of referral coordinators and supervisors. Analyzes data to understand referral volume, caseload, status, and processing timeline, for the identification of performance and process improvements. Identifies barriers that delay the timely processing of patient referrals. Fosters the referral and clinical team in the development of solutions to improve the overall patient experience. Provides best practices and training as it relates to care coordination. Collaborates with the clinical operations team to remodel the referral process at patient check-out. Works with the supervisors to redesign a referral workflow and process that supports the patient experience in the phone system. Determines proper staffing levels and assigns staff to proper working sites Ensures timely processing, documentation and scheduling of referrals. Responsible for obtaining and maintaining SLAs and KPIs as assigned Responsible for regular communication with RMOs and Medical Directors to ensure satisfaction with referral performance Strengthens the relationship and communication with preferred specialist and ancillary providers to ensure that they are delivering exceptional care coordination to our patients. Communicates timely and frequently with all stakeholders (staff, physicians, payers and supervisors and referral coordinators) regarding patient referrals in accordance with company protocol. Assist the referral supervisors with training, auditing and evaluation of routine, urgent and stat referrals in accordance with company protocol. Navigate referral complaints from patients, providers, and health plans to prevent patient attrition. Participates in regular health plan JOC meetings. Works with the Patient Services Director to identify staffing ratios to stabilize the department for future growth and expansion. Models a standard of excellence as it relates to exceptional customer service and patient satisfaction. Performs other related duties as assigned by management. SUPERVISORY RESPONSIBILITIES: Management and supervision of the referral team to include supervisors and referral coordinators. Requirements QUALIFICATIONS: High school diploma or General Education Degree (GED) is required College Education is preferred 5+ years of Customer Service experience is required 3-5 years of Electronic Medical Record (*EMR) Experience is required, ECW- eClinicalWorks is preferred 5-8 years of management and leadership experience Proven experience in referral/care coordination in a healthcare setting Knowledge of various insurance plans, ICD-9, CPT codes and referral guidelines Understanding of medical terminology Effective Communication Skills (Written and Oral) Excellent interpersonal relationships and customer service skills Exceptional time management and organizational skills Ability to multitask in a fast-paced environment Team player and self-starter Bilingual in Spanish and English About IMA Medical Group: IMA Medical Group is a visionary and dynamic company focused on high-quality primary care services, with doctors and professionals dedicated to the health and well-being of the elderly.
