POSITION SUMMARY:

The Referral Coordinator is responsible for managing all aspects of the patient referral process, including coordinating referrals to specialists, obtaining prior authorizations when necessary, and ensuring timely and accurate communication between patients, providers, and external offices. This role supports continuity of care and helps optimize the patient experience as well as schedule optimization for each provider. We have 4 total providers in two clinics: Fort Worth and Aledo.

QUALIFICATIONS:

  • High school diploma or equivalent (required); Associate’s or Bachelor’s degree (preferred).
  • 2-5 years of experience in a healthcare setting, preferably in referral coordination, scheduling, or insurance verification.
  • Familiarity with medical terminology and health insurance processes (especially prior authorizations).
  • Proficient with EMR systems (e.g., eClinicalWorks) and Microsoft Office Suite.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Customer service-oriented with a focus on patient care and experience.

PREFERRED SKILLS:

  • Bilingual (Spanish/English) is a plus.
  • Experience working with Medicare Advantage, Medicaid, and commercial insurance plans.
  • Familiarity with healthcare authorization portals and insurance carrier requirements.

Responsibilities
  • Process and coordinate outgoing referrals from primary care or specialty providers.
  • Verify insurance coverage and authorization requirements for referrals.
  • Submit and track prior authorization requests as needed.
  • Communicate clearly with patients regarding appointment status, next steps, and specialist appointment scheduling.
  • Ensure all referral documentation is complete, accurate, and attached to the electronic medical record (EMR).
  • Follow up with specialist offices to confirm receipt of referrals and to expedite scheduling if clinically necessary.
  • Maintain tracking logs of all referrals and authorizations to ensure timely resolution.
  • Collaborate closely with providers, clinical teams, and billing departments to streamline workflows.
  • Maintain patient confidentiality and adhere to HIPAA compliance standards at all times.
  • Identify and troubleshoot any issues related to referral processing or insurance denials.
  • Provide excellent customer service and empathetic support to patients during the referral process.
