Responsibilities

ROLE OVERVIEW

We are seeking a highly organised and proactive Regional Scheduling Coordinator to oversee and manage the daily deployment and scheduling of our Security Officers in the South of the UK. This role is pivotal in ensuring continuity of service, rapid response to rota gaps or “blowouts”, and consistent performance across all client contracts in the region.
You will play a critical role in real-time scheduling, rota management, and communication with field officers and stakeholders to ensure security coverage is always aligned with contract requirements and SLAs.

KEY RESPONSIBILITIES

  • Manage the daily scheduling and deployment of security officers across multiple sites in the South region.
  • Create, monitor, and adjust officer rotas to ensure optimal coverage and compliance with working hours and legal requirements.
  • Respond swiftly to last-minute blowouts, sickness, or absences by arranging cover and communicating changes effectively.
  • Book officers on and off duty in real-time using internal workforce management systems.
  • Ensure all shifts are adequately filled and any gaps are escalated and addressed as a priority.
  • Liaise directly with officers to confirm availability, site assignments, and shift details.
  • Coordinate closely with Operations Managers and Account Managers to support smooth service delivery.
  • Maintain accurate records of all schedule changes, incidents, and coverage challenges.
  • Communicate clearly with internal stakeholders and clients where service impact may occur.
  • Assist in proactive planning of rotas during peak periods and holiday seasons.
  • Support the Service Desk and Operations team in general administration during high-volume periods.
  • Adhere to all ASEL compliance, risk, and safeguarding protocols when assigning officers to high-risk sites.
  • Ensure all scheduling activity complies with relevant employment legislation and internal policies.
