The Registrar Administrative Assistant position has primary responsibility for communicating with students during the enrolment process, organizing and following admissions guidelines and working with other departments to ensure the student information is well managed.

Major Accountabilities/Responsibilities (Including but not limited to the following):

  • Collaborate with the Student Advisory Services team to support student admissions and enrollment processes
  • Maintain and organize physical and digital file spaces to ensure accessibility and compliance
  • Create, digitize, and archive student files as needed
  • Manage databases and records related to student documentation
  • Support the tracking and organization of student financial records
  • Coordinate with other departments to prepare and submit required reports
  • Assist prospective students in gathering and submitting enrollment documents
  • Review student documentation for accuracy and completeness
  • Conduct quality control checks and file audits to maintain data integrity
  • Monitor and record student status changes, and communicate updates to relevant departments
  • Support and help coordinate orientation events for incoming students

Education and Experience

  • Diploma or Certificate in Records Management or Business Administration (or related field)
  • 1–2 years of experience in administration, records management, or student services
  • Strong customer service skills and experience working with diverse populations
  • Proficient in Microsoft Excel; experience with SharePoint and Kofax is an asset
  • Strong attention to detail and accuracy in document handling and data entry
  • Excellent organizational, communication, and time management skills
  • Ability to maintain confidentiality and work with sensitive information
  • Comfortable working in a fast-paced, team-oriented environment
