JOB REQUIREMENTS

  • A diploma in Office Administration, Education or Social Sciences- Bachelor’s degree preferred.
  • A minimum of 2 years of experience in an administrative setting.
  • Ability to work in a fast-paced environment, handling multiple requests.
  • Ability to demonstrate a thorough concern for all the areas involved, no matter how small. (Strong attention to detail is required)
  • Proficient with Microsoft Office (Word, Excel, Access, PowerPoint) and experience with student information systems.
  • Strong organizational and time management skills.
  • Fluent English language skills- fluency in other languages is considered an asset.
  • Prior registrar or registrar assistant experience preferred, especially in private colleges.
  • Ability to manage multiple tasks and collaborate effectively.
  • Ability to work independently and within a team, under the supervision of the department head.

Responsibilities

ABOUT THE ROLE

We are looking for a detail-oriented Registrar to join our growing Ottawa Campus team. The Registrar plays a pivotal role is supporting academic operations and ensuring compliance with institutional, regulatory, and accreditation standards. They will serve as a key liaison between students and Director of Education. They will be tasked with managing student registration, schedules, and students’ physical and electronic records, in addition to many other administrative tasks.

RESPONSIBILITIES

  • Coordinate student registration in courses, finalize and modify their schedules.
  • Create program calendars and communicate changes to relevant departments.
  • Manage and maintain accurate student academic records in the student information system (CampusLogin) and their physical files.
  • Enter and track grades and monitor academic progress.
  • Lead student orientation and onboarding activities.
  • Monitor attendance, prepare reports, and follow up with absent students.
  • Conduct graduation audits, verify eligibility, and prepare graduate lists and awards.
  • Respond and process student requests of letters, transcripts and diplomas.
  • Assists the dean with organizing and scheduling program specific training sessions. Ex.: First Aid and Safet trainings sessions, and the NACC exams in the PSW program.
  • Strong public speaking abilities to effectively communicate with diverse audiences.
