About This Position The Registrar is responsible for the management, accuracy, and integrity of all student academic records for the Middle and Upper Schools at Louise S. McGehee School. This position oversees transcript management, grade reporting, course enrollment, and state reporting requirements while ensuring compliance with school policies and applicable regulations. The Registrar works closely with the Division Heads, College Counseling Office, faculty, and administrative staff to support student academic records, scheduling processes, and reporting deadlines. The role also manages substitute teacher coordination and assists with academic reporting cycles throughout the school year. Requirements Primary Responsibilities: Maintain accurate and comprehensive student records: Serve as the custodian of all academic records for Middle School and Upper School students Process transcript requests for current students, transfers, and alumni. Ensure student records are maintained in accordance with school policies and applicable privacy regulations Manage the storage and organization of digital and physical student records Coordinate the transfer of student records for incoming and outgoing students Oversee updates to student records and ensure documentation is properly archived Oversee transcripts and academic reporting: Maintain and update official student transcripts Coordinate senior transcript review and verification prior to submission for college applications Ensure all course credits, including external coursework, are accurately recorded Process transcript edits and updates as needed Manage high-volume transcript requests for alumni and transferring students Lead grade reporting and academic data management: Oversee grade reporting cycles and GPA tracking throughout the academic year Ensure accuracy of grades, comments, and academic records prior to release to students and families Manage student and parent access timelines for report cards and progress reports Ensure GPAs and academic credits are calculated accurately within the student information system Ensure state reporting and compliance: Maintain the school’s State Transcript System (STS) records Collect required student data for state reporting Ensure all earned credits are accurately reported to state systems Support course enrollment and scheduling: Manage student course enrollment processes for both Middle School and Upper School Ensure students are correctly enrolled in all courses for the academic year Coordinate enrollment in external academic programs such as One Schoolhouse Coordinate substitute teacher coverage: Maintain the Middle and Upper School substitute teacher calendar Coordinate classroom coverage when teachers are absent Secure substitute teachers as needed and ensure substitute plans are distributed Communicate with substitute teachers regarding schedules and school procedures Manage systems and data integrity: Maintain data accuracy within the school’s student information system Assist in evaluating and improving systems for student records management Support initiatives to transition student records to digital storage where appropriate The Registrar supports several major academic reporting and enrollment cycles each year, including: Senior transcript verification and college submission preparation Quarter and semester grade reporting State Transcript System updates National Honor Society eligibility determination End-of-year academic award determination and coordination Student course enrollment for the upcoming academic year Graduate transcript verification after the first year of college Student records organization and transition to the next academic year Who Should Apply for this Role?
