SUMMARY: Supervises the collection and reporting of all official academic records. Coordinates registration, enrollment, permanent files and information systems processes. Develops and promotes good community relations among various community and school clientele. DUTIES AND RESPONSIBILITIES: The following tasks describe the basic functions of the job and represent the type of work performed. They do not constitute an exhaustive list of the duties and responsibilities performed on the job. The following frequencies and percentage of time spent are approximations only and are subject to flexibility dependent on organizational needs. 1. Coordinates the registration process, prepares all materials for pre-registration and registration, collects data and supervises self-scheduling. 2. Supervises and/or maintains record procedures including grade reports, cumulative folders, transcripts and student schedules. 3. Evaluates transcripts of all transferring students and maintains permanent record file of all students. 4. Works in collaboration with administrators in the master schedule development, maintaining class load and sizes and scheduling room assignments. 5. Supervises the records office, assists with the hiring and training of personnel, directs and monitors the activities of the clerical assistants. 6. Coordinates student check-in process including compiling check-in packets and arena set-up. 7. Acts as liaison with Information Systems and provides staff/building with appropriate reports as needed. 8. Maintains records of office expenses, inventories and budget balance 9. Performs other related duties as assigned or requested. MINIMUM QUALIFICATIONS: The minimum amounts of formal education, professional work experience, knowledge, skills, and abilities that must be met for a candidate to be considered for a position. 1. High school diploma or equivalent 2. Excellent communication skills, both verbal and written 3. Proficient in Microsoft Office, specifically Word and Excel 4. Organizational skills 5. Knowledge of district policies and procedures preferred MINIMUM CERTIFICATIONS AND LICENSES: The minimum certifications and licenses that must be met, valid, and unexpired for a candidate to be considered for a position. N/A PREFERRED QUALIFICATIONS: Any job-related formal education, professional work experience, knowledge, skills, abilities, certifications, licenses, and other criteria that are inessential and in addition to the minimum qualifications, certifications, and licenses. 1. 1 to 2 years of administrative assistant/clerical experience. PHYSICAL AND MENTAL DEMANDS: The physical exertion, cognitive capacities, and work environments required to perform a position’s duties and responsibilities. 1. Occasional bending, reaching, climbing. 2. Light physical effort (lifting under 10 pounds). 3. Sedentary (long periods of sitting with freedom to move about). 4.
