A professional conference management company, known as a PCO is looking for a Registration Administor for national and international conferences, which are predominantly professional and academic associations. JOB DESCRIPTION AND KEY PERFORMANCE AREAS

Administrator: Registration – Delegate Services Division, Cape Town Office
In our Delegate Services division, you will be part of a team that not only serves as a customer service “gateway” to our conference participants but also sets up and monitors booking systems and administers all aspects of the participants’ registration needs, for conferences taking place across Africa and Europe, ranging from 250 to 20,000 participants.
In this position, you are responsible for participant registrations and will act as a link between the conference, the participants, the conference Project Manager, and other company divisions. You will communicate with participants from all over the world and help them with their conference registration requirements.

REQUIREMENTS, KNOWLEDGE, AND SKILLS

  • 2+ years relevant professional work experience (e.g., travel, tourism, hotels, conferences or call centre) and contactable references.
  • A service orientation and customer service excellence.
  • Fluent in English, French knowledge is a plus.
  • Self-motivated and willing to take responsibility.
  • Communication: Excellent written and verbal English skills.
  • Strong interpersonal skills to effectively present information and respond to questions from team members, clients, and conference participants. Express information (written and verbal) in a concise and logical manner for diverse individuals from around the world.
  • Technology: Extremely proficient in Microsoft Office (Excel, Outlook, Teams, Word); works with Adobe Acrobat, Zoom; able to learn custom-built conference management software and Word Press.
  • Solutions oriented: Able to identify and define problems, collect data, establish facts, and draw valid conclusions. Must be able to troubleshoot problems and expediently find solutions, in order to minimise impact.
  • Organisational skills: Very structured and organised and displaying a strong attention to accuracy and detail, with excellent time management.
  • Ability (in possession of a current passport), flexibility and willingness to travel nationally and internationally.

Responsibilities
  • Full-time position; Monday to Friday, 40-hour week.
  • Reports to the Team Leader in the Cape Town office; the Head of Division: Delegate Services – Registration in the Berlin office; the Project Manager of the conference; and the Managing Director.
  • The role can require national and international travel as well as occasional evening, weekend, and public holiday work, as required by conference demands.
  • After the successful conclusion of 6 months of employment, some workplace flexibility can be discussed.
