As Regulation & Governance Assistant, you will be a confident communicator with a positive, proactive approach. You will be comfortable engaging with members, colleagues, and external stakeholders, holding your own in conversations and ensuring information is clear and accurate. Great written skills, particularly for minute-taking, will be required, along with excellent data processing abilities and experience using CRM systems such as Microsoft Dynamics. Responsibilities

SOME PRINCIPAL ACCOUNTABILITIES:

  • Providing administrative support in relation to ICAS’ Council, Boards, Committees, and Panels, liaising with colleagues to coordinate meeting agendas and papers, booking rooms, arranging remote dial-in facilities, arranging lunch and refreshments. Providing ongoing support to the members of such governance bodies.
  • Providing such support as is necessary to ensure that regulation and governance processes are effective, operating in accordance with ICAS’ Rules, Regulations, internal protocols and any applicable KPIs.
  • Providing high-quality advice and assistance to members and firms who raise queries over the regulation and governance processes, liaising with colleagues where appropriate, and having telephone discussions, drafting communications (letters, emails) etc. Similar support will be provided to members of ICAS’ governance bodies.
  • Corresponding (by letter, email, telephone) with members, firms, governance body members, and other stakeholders.
  • Assisting colleagues with ICAS’ interactions with oversight bodies, including annual / ad hoc reporting of data, and inspection processes as well as with all team meeting prep.
  • Maintaining an effective filling system for regulation and governance queries, that permits analysis of the queries (numbers, subject matters, issues etc), proactively ensuring compliance with ICAS’ Data Retention Policy.
  • Ensuring that ICAS’ CRM system is promptly and accurately updated.
  • Assisting with follow-up items arising from governance body meetings, including correspondence with members and firms, regulatory penalties, and referrals to the other governance bodies.
  • Liaising with ICAS’ Finance Team to ensure that any invoices and purchase orders are processed in a timely fashion.
  • Providing support in relation to the regulation and governance content on the ICAS website.
