Ideal Qualifications:

  • 2+ years of experience in a regulatory or quality assurance role in the food industry.
  • Working knowledge of Canadian (CFIA, Health Canada) and international food regulations (USDA, FDA).
  • Experience with organic certification compliance (USDA and COR), as well as HACCP, GMP, and kosher programs.
  • Proficient in food labeling regulations and experienced with label management software.
  • Experience with Bill of Materials (BOM) maintenance in a food manufacturing environment.
  • Strong organizational, and communication skills.
  • Proficiency in regulatory and nutritional software tools (e.g., Genesis) is an asset.
  • Ability to manage multiple projects and prioritize tasks in a fast-paced environment
Responsibilities

PURPOSE:

The Regulatory Affairs Specialist plays a critical role in ensuring that all regulatory strategies and activities align with business objectives and comply with applicable legal and food safety requirements. Reporting to the Director of Food Safety and Quality, this position ensures that our products meet national and international regulatory compliance standards.

KEY RESPONSIBILITIES:

  • Ensure that all food products, ingredients, and additives used are safe for public consumption and compliant with applicable regulations.
  • Monitor and interpret regulatory requirements from CFIA, USDA, Health Canada, and other relevant food regulatory bodies; ensure timely implementation of regulatory updates.
  • Manage USDA Organic and Canada Organic Regime (COR) compliance, including the maintenance of organic certification and coordination of documentation.
  • Coordinate kosher activities with the Rabbi and maintain kosher database
  • Work with label generating software to ensure accuracy, regulatory compliance, and brand consistency of labels.
  • Manage the Bill of Materials (BOM) for all products, ensuring alignment with regulatory documentation, formulation changes, and packaging specifications.
  • Develop and maintain product documentation including specification sheets, labeling requirements, ingredient declarations, and nutritional facts.
  • Coordinate and liaise with regulatory authorities and external auditors during inspections and product registrations.
  • Ensure timely preparation and submission of documentation for organic, kosher and governmental agencies.
  • Partner with packaging suppliers to ensure all product labeling and packaging meet regulatory and customer specifications.
  • Maintain and manage finished goods specifications.
  • Support the Food Safety Manager during organic, CFIA and other regulatory audits as required.
  • Participate in the ongoing development and improvement of the company’s Quality Management System (QMS), particularly regarding regulatory compliance.
  • Review existing product SKUs for continued regulatory compliance and support required label changes or re-registrations.
  • Develop clear, concise, and user-friendly product information such as labels, product leaflets, and one-point lessons (OPLs).
  • Provide training to the operations staff on regulatory requirements, and provide timely updates when regulations change to ensure continued compliance.
  • Perform other duties and assignments as required to support the company’s quality and regulatory affairs objectives.
