JOB DESCRIPTION
Rehab Office Assistant
This is a Medical Office Assistant position providing support to the Rehab Team comprising of physiotherapists, chiropractors, kinesiologists . This position requires exceptional attention to detail, excellent communication skills (written and oral), excellent organization and time management skills with the ability to multitask and prioritize the workload and the use of EMR programs ( Telus CHR and Practice Perfect).
PRIMARY FUNCTIONS/ACCOUNTABILITIES
Client Service
- Greet and help patients as soon as they come into the clinic
- Handle traffic flow in the front reception area
- Assist with inquiries, parking extension
- Assist other visiting doctors / guests with parking
Rehab Booking
- Arrive and process triage & rehab patients
- Explain intake forms to be completed, and check for completeness once returned
- Keep track of RHA/AHS treatments and update EMR
- Ensure patients are rebooked
- Confirm new assessments for the following day
Billing
- Ensure private patients pay before seeing the rehab provider
- Process payments for other services; MVA, WCB, RHA/AHS, EHB, LTD/STD
- Ensure billing is correct
- Submitting RHA through Strata Health
Administrative duties
- Phone Calls
- Check and deal with voicemails regularly throughout the day
- Call and follow up with Insurance Companies regarding approval for treatment/products
- Regularly retrieve mail from mailbox (located on the main floor) , sort, and put in correct folders
- e-Faxes must be sorted and placed in the respective e-Fax folders
- Ensure STAT reports are delivered to providers right away
- Manage and redirect those that do not belong to the clinic
- Process outgoing & incoming mail
- Scan and link documents to patient files in EMR
- Prepare forms for next day’s triage patients including referral and disc/s retrieval
- Organize and collate all invoices at the end of the workday
- Manage Accounts Receivable for MVA patients
Cleanliness & Organization
- Ensure organized and clean workspace and patient reception area
- Keep track of supplies inventories, email requests when needed
Other Duties
- Provide coverage to other areas of the clinic when necessary
