ABOUT THE ROLE:

As Release Counselling Administrator, you will provide comprehensive administrative and organisational support to ensure the efficient operation of the Release Counselling Service. You will be the first point of contact for client enquiries and referrals, ensuring that the service is run professionally, ethically, and in line with the YMCA St Paul’s Group’s mission and values. This role is integral to supporting the delivery of high-quality counselling services and ensuring smooth coordination between clients, counsellors, and internal teams.

KEY RESPONSIBILITIES:

  • Administrative Support: Manage communication from clients, external agencies, and internal support services, ensuring all enquiries are handled confidentially and professionally.
  • Client Coordination: Act as the first point of contact for client enquiries and referrals via telephone, email, mail, and online enquiry platforms.
  • Data Management: Input client data, monitor key performance indicators (KPIs), and produce statistical and narrative reports for the Release Counselling service.
  • Scheduling & Organisation: Provide administrative support to Volunteer Counsellors and Clinical Supervisors, including diary management and appointment scheduling.
  • Financial Processes: Ensure client and funded payments are collected and recorded accurately in accordance with financial procedures.
  • Marketing & Outreach: Work with the Health and Wellbeing digital marketing partner to implement an effective marketing plan, including social media campaigns, outreach activities, and engagement events.
  • Stakeholder Collaboration: Liaise with voluntary sector organisations, Talking Therapies, local authorities, and other relevant partners to enhance service delivery.
  • Confidentiality & Compliance: Ensure adherence to GDPR and internal policies regarding data protection and confidentiality.
