POSITION OVERVIEW:

We are seeking a highly organized and detail-oriented Remote Bilingual Legal Assistant to micromanage all aspects of our debt collection lawsuit workflow while strictly adhering to established policies, procedures, and the direction of the attorney. This role involves drafting legal documents, ensuring all necessary client information and documentation are obtained, communicating with clients and opposing counsel, calendaring important deadlines and court dates, and following cases through to conclusion. The ideal candidate is fluent in both Spanish and English (written and verbal), can handle a high volume of cases, and is committed to executing every function in strict compliance with our established processes.

QUALIFICATIONS:

  • Education: A college degree in any discipline is required.
  • Language Proficiency: Fluency in both Spanish and English (written and verbal) is required.
  • Skills & Experience:
  • Exceptional attention to detail and ability to micromanage debt collection lawsuit workflow efficiently.
  • Strong written communication skills, with impeccable spelling and grammar.
  • Coachable and open to feedback—willing to learn and implement instructions precisely.
  • Ability to strictly follow detailed instructions, policies, and procedures.
  • Experience working in an administrative or structured work environment is preferred.
  • Proficiency in CRM systems, Microsoft Office Suite, and document management tools.
  • Strong time management skills with the ability to track multiple deadlines effectively.

TECHNICAL REQUIREMENTS:

  • Workspace: Quiet, private workspace conducive to professional work.
  • Equipment: Reliable computer with up-to-date software and security measures.
  • Internet: High-speed, hardwired internet connection (Wi-Fi alone is not sufficient).
  • Headset: High-quality headset for clear communication with clients, attorneys, and opposing parties.
Responsibilities
  • Legal Document Preparation: Draft pleadings, including complaints, stipulations, and motions, ensuring accuracy and compliance with legal requirements.
  • Client & Opposing Counsel Communication: Professionally and effectively communicate with clients and opposing counsel regarding case status, settlement negotiations, and document requirements.
  • Case Management: Ensure each case file is complete with all required documentation, including signed representation agreements, payment details, and client-provided documents.
  • Calendaring & Deadline Management:
  • Calendar all important court hearings, trials, mediations, and pretrial conferences.
  • Regularly audit the attorneys’ calendar to ensure court dates and deadlines are properly scheduled and that no critical proceedings are missed.
  • Monitor case timelines and provide timely reminders of upcoming deadlines.
  • Client Status Updates: Provide clients with regular case status updates, ensuring they are guided through the legal process according to firm policies and procedures. The focus is on making sure clients understand the steps they need to take, rather than explaining legal proceedings in detail.
  • Finalizing Cases: At the conclusion of representation, provide clients with final instructions according to firm procedures and ensure all necessary actions have been completed.
  • Coordinating Documents: Organize and ensure all necessary documents are prepared, signed, and, when required, mailed to appropriate parties in a timely manner.
