We are looking for an exceptional Executive Assistant to provide high-level support to the Founder across our diverse portfolio of businesses. This is a fast-paced role for someone who thrives on organization, anticipates needs before they arise and enjoys being at the centre of operations. The ideal candidate is resourceful, detail-oriented, and capable of managing multiple priorities while maintaining the highest level of professionalism and confidentiality. You will work closely with the Founder to coordinate day-to-day operations, oversee projects, and ensure seamless execution across all businesses. Qualifications Candidates should possess strong Executive Administrative Assistance and Administrative Assistance skills, including calendar and task management. Candidates should possess experience with Executive Support, such as coordinating schedules, meetings, and travel for leadership. Candidates should possess the ability to prepare and reconcile Expense Reports accurately and in a timely manner. Candidates should possess excellent Communication skills, both written and verbal, for internal and external interactions. Strong organizational skills, attention to detail, and the ability to prioritize multiple tasks. Proficiency with office productivity tools (e.g., Google Workspace or Microsoft Office) and comfort with digital collaboration tools. Ability to work independently, maintain discretion, and demonstrate sound judgment in a fast-paced, creative environment. Previous experience supporting executives or teams in fashion, retail, or a creative industry is a plus. Responsibilities Executive Support: Manage the Founder's calendar, schedule meetings, coordinate appointments, and ensure priorities are effectively managed. Email & Communication Management: Monitor correspondence, draft professional emails, manage follow-ups, and act as a liaison between the Founder and internal or external stakeholders. Project Coordination: Track ongoing projects across all businesses, monitor deadlines, follow up with teams, and ensure timely execution of deliverables. Operations Management: Assist in developing, documenting, and maintaining operational systems, SOPs, and internal processes across the businesses. Meeting Coordination: Prepare meeting agendas, record action points, and ensure follow-up on outstanding tasks. Administrative Management: Organize files, maintain documentation, prepare reports, presentations, and business correspondence. Travel & Logistics: Coordinate travel arrangements, accommodation, itineraries, reservations, and event logistics when required. Cross-Business Coordination: Work closely with teams and managers across all brands to ensure communication flows efficiently and priorities remain aligned. Research & Analysis: Conduct research, gather information, prepare summaries, and support strategic decision-making. Confidentiality: Handle sensitive business and personal information with the highest level of discretion and professionalism. Problem Solving: Anticipate challenges, identify solutions proactively, and ensure issues are resolved before they impact business operations. Qualifications Bachelor's degree. 3–5 years of experience supporting senior executives, founders, or C-suite leadership. Excellent written and verbal communication skills. Exceptional organizational and time management skills. Strong attention to detail. Ability to multitask and prioritize effectively. High level of professionalism and discretion. Proficiency in Microsoft Office Suite and Google Workspace. Experience using project management tools is an advantage. You are someone who: Enjoys working in a fast-paced, dynamic environment.
