As our Project Coordinator, you will be responsible for the following:

  • Operate phone systems to manage calls and messages effectively.
  • Coordinate with clients, vendors, and teams to ensure projects are set up for success.
  • Manage production email inbox with speed and efficiency.
  • Track project progress and update project management software to ensure all stakeholders are aligned.
  • Create and distribute project documentation, including work orders, schedules, and client communications.
  • Serve as the primary point of contact for clients prior to project start and then smoothly transition client communication to project manager
  • Schedule and confirm projects, ensuring all necessary resources and information are available for the team
  • Collaborate with the sales team to transition new projects from the proposal stage to production.
  • Resolve scheduling conflicts and operational issues promptly to maintain project timelines.
  • Perform quality assurance checks on project details to prevent errors before a project begins.

The ideal candidate will have:

  • 1+ year of experience in project coordination
  • 2+ years of customer service
  • Strong multi-tasking skills working in a fast-paced environment
  • Exceptional communication skills, both written and verbal
  • 2+ years scheduling experience

Job Type: Full-time
Pay: $15.00 - $20.00 per hour
Expected hours: 40 per week
