JOB SUMMARY

We are seeking a reliable, detail-oriented Administrative & Marketing Assistant to handle scheduling, client communication, Quality control, and delivery of completed media, and general administrative and marketing support. The ideal candidate will be tech-savvy, have strong organizational skills, and enjoy working in a fast-paced environment where every day is a little different.

EXPERIENCE

  • Proven experience in an administrative role or similar position is preferred.
  • Familiarity with front desk operations in a professional setting is advantageous.
  • Bilingual candidates are encouraged to apply as communication with diverse clients is essential.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace is required.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Experience with clerical duties such as filing, typing, and data entry is necessary.
  • Previous experience as a dental receptionist or medical receptionist is a plus but not mandatory.

Responsibilities
  • Schedule photography, videography, and 3D tour appointments with real estate agents and homeowners
  • Communicate with clients via phone, email, and text to confirm appointments and answer questions
  • Review completed media to ensure it meets company standards
  • Organize and deliver completed media to clients using our delivery platform
  • Monitor project timelines and ensure all deadlines are met
  • Assist with basic marketing tasks, including creating and scheduling social media posts and sending promotional emails
  • Maintain accurate records and files for all projects and clients
  • Support the photographer(s) with logistics, paperwork, and client communication as needed
  • Perform other administrative duties to support the business
