As a Rental Fleet Coordinator, you will play a vital role in managing the day-to-day operations of the rental equipment fleet. This role is heavily focused on coordinating freight and logistics for equipment rentals, sales, and service, while also ensuring rental units are maintained, organized, and customer-ready. You will work closely with service technicians, drivers, and internal teams to ensure smooth scheduling, timely deliveries, and excellent customer support. By supporting both operations and customer needs, you will help deliver reliable service, streamline equipment flow, and contribute to overall business success.

QUALIFICATIONS:

  • Experience in freight coordination, dispatching, or logistics is required
  • Previous experience in equipment rental, service, or related industries is a strong asset
  • Proficient with typing, Microsoft Word, Excel, and inventory management systems
  • Strong time management and organizational skills
  • Detail-oriented with the ability to manage multiple priorities
  • Good communication skills with a customer-first mindset
  • Strong work ethic and ability to work well in a team environment

EXPERIENCE:

  • Customer Service: 2 years (required)
  • Freight Coordination / Dispatching: 1 year (required)
  • Logistics or Fleet Scheduling: 1 year (preferred)
  • Microsoft Office (Word, Excel, Outlook): 1 year (required)

Responsibilities
  • Respond to requests for rental equipment as required
  • Identify equipment required to fulfill customer requirements
  • Provide price quotes as required
  • Build & maintain good customer relationships
  • Help source rental equipment for customers as required
  • Process rental contracts
  • Ensure all rental equipment is organized and rental ready
  • Manage equipment maintenance and scheduling
  • Coordinate equipment freight as required (Rentals, Sales and Service)
  • Coordinate inter-branch equipment stock transfers
  • Back-up other positions and cross-train as required
  • Inside Sales reach-outs
  • Maintain up-to-date Equipment details in the inventory management system
  • File paperwork as required
