Research and Administrative Assistant
1. Provides technical and administrative support to Manager including research and policy editing, and drafting some tools based on previous examples the company has.
2. Oversees and supports data entry and data cleaning to ensure integrity and accuracy.
3. Helps develops briefing notes and status reports/updates for the Project Manager.
4. Operate office equipment, , data entry, verify, record and process forms and documents including preparing briefing binders and itineraries for meetings or travel. and others readied for shredding by professional company.
5. Perform general clerical (records of minutes, summarize data into one document), minimal filing, receipts and invoices and other duties according to established procedures as requested by the Williams Consulting. Maintains organized files on server.
6. Schedules video-conference meetings and attaches briefing materials. Upload recordings for transcriptions. Edits transcriptions promptly.
7. Candidate must be organized and maintain the company task-list and document communications electronically.
8. Support planning and preparation for facilitation and meetings. Supports facilitation.
9. Oversees and supports data entry and data cleaning to ensure integrity and accuracy. Quality control of documents prior to distribution from office (proof-read).
10. Organizes travel, (flights, accommodations, car rentals and itinerary) for team members every two weeks and submits itinerary and information to the team.
11. Candidate must be willing to mentor clients occasionally over the phone as required following training by the Project Manager.
12. It is a condition of employment that this position is based in the office to provide direct support to the Owner/Project Manager. Office is in Bowmanville, Ontario
13. Williams Consulting works exclusively for First Nations or Indigenous communities/organizations as well as the government. Subject matter expertise is not required however the individual filling this position must be an ally of Indigenous People and be willing to be learn as necessary including taking a 10 hour cultural competency course.
14. This candidate must have strong computer skills with on Microsoft word and excel. They must also be comfortable manipulating Adobe files, and utilizing multiple software applications (we train).
15. This position will occasionally travel and provide planning, facilitation and training support.
16. Flexible working hours may be required to occasionally accommodate participation in client meetings, planning processes and travel for attendance at meetings.
17. It is a condition of employment that the successful candidate pass a security check.
18. It is a condition of employment that the successful candidate is recently vaccinated for COVID and FLU and participate occasionally in Rapid Test program due to the requirements of our client contracts.
20. A college diploma or university degree is required. This is a dynamic workplace with a variety of activities that keeps the successful candidate busy. Must be able to multi-task or shift with emerging priorities.
21. The company is seeking a passionate individual willing to make a one year -commitment.
22. Drivers license required.
