Reservations and Group Services Coordinator The Reservations and Group Services Coordinator is a dual-function role responsible for high-touch reservations management and specialty market conference services, with a focused emphasis on Diplomatic, Entertainment, and VIP segments. This position exists to maximize revenue, protect rate integrity, and mitigate operational and reputational risk associated with high-value, high-sensitivity bookings that require discretion, judgment, and real-time coordination across departments. Summary of Responsibilities Maximize ADR and total revenue for specialty and high-touch segments. Convert non-traditional inquiries into optimized bookings and room blocks. Serve as the single accountable owner for diplomatic and entertainment stays. Protect brand reputation through precision, discretion, and consistency. Manage direct reservations for: Diplomatic delegations and consulates Entertainment industry clients (film, television, fashion, music, press) VIP leisure and repeat high-value guests Ensure strict adherence to: Rate strategy Inventory controls Blackout and compression period policies Identify opportunities to: Upsell premium room categories and suites Convert transient inquiries into short-term blocks Extend length of stay during shoulder periods Anticipate and resolve booking complexities before arrival. Ensure seamless communication across operational departments. Flag potential reputational or security risks early. Maintain detailed records to support continuity and repeat business. Requirements You have a sales mindset, and are driven by performance and conversion. You have a basic understanding of revenue management. You have a keen attention to detail. Possess a comprehensive knowledge of the Opera property management system and the relevant sections of the Synxis central reservation system. Minimum 1–3 years' experience in: Luxury hotel reservations, Sales coordination, or Conference services Demonstrated success in: High-touch guest service Complex booking environments Strong understanding of: Revenue management principles Group dynamics and displacement Exceptional discretion, judgment, and communication skills Experience with VIP, diplomatic, or entertainment clientele strongly preferred
