JOB SUMMARY

The Assisted Living Administrator is responsible for overseeing the daily operations of our assisted living facility, ensuring that residents receive high-quality care in a safe and supportive environment. This role requires strong leadership and management skills, as well as a deep understanding of senior care practices, including memory care and home community care. The Administrator will work closely with staff, residents, and families to promote a positive living experience for all.

REQUIRED SKILLS/ABILITIES

  • Strong managerial, supervisory and leadership skills, with the ability to motivate and coach a team to achieve operational goals.
  • Knowledge of Level IV assisted living regulations and operations.
  • Excellent organizational skills and attention to detail.
  • Excellent communication and interpersonal skills, with the ability to build and maintain strong relationships with residents, co-workers, and employees.
  • Results-driven mindset, with the ability to prioritize.
  • Analytical thinker with demonstrated ability to problem solve in a fast-paced environment.
  • Proficient in Microsoft Office Suite or similar software and willingness to learn other computer programs used by Magnolia Assisted Living.
  • Knowledge of OSHA regulations, MDS sheets and procedures, food-service regulations, fair housing and labor laws.
  • Flexibility.
  • Must have valid driver’s license and reliable transportation.

EDUCATION AND EXPERIENCE

  • High School Diploma or GED required.
  • Knowledge or Education in Health Care Administration, CRMA, CNA, or Nursing preferred.
  • One -Two years of related experience working in an Assisted Living Community or Nursing Home required.
  • Current Residential Care Administration License (RCAL) or Multi Level Long Term Care License in the state of Maine is required.

SUPERVISORY RESPONSIBILITIES

  • Interviews and hires staff.
  • Trains new staff for assigned facilities.
  • Organizes and oversees the schedules and work of assigned staff.
  • Handles discipline and termination of employees as needed and in accordance with company policy.
  • Approves biweekly payroll.
  • Manages resident documentation, care needs, activities, and schedules.
  • Ensures resident living environment is safe and comfortable.
  • Oversees food and supply orders.
  • Record keeping of patient trust.

DUTIES

  • Plans and organizes daily activities related to production and operations.
  • Coordinates with other support departments including marketing, HR and finance to ensure successful operations.
  • Facilitate new resident move-ins and move-outs with appropriate support departments.
  • Establishes and maintains open and effective communication with residents, families, employees, owners, directors and other members of the management team.
  • Conducts house/property tours of all prospective residents and families.
  • Participates in providing services to residents.
  • Ensures continuity and consistency in delivery and quality of services.
  • Arranges services and support to meet residents’ needs.
  • Develops and maintains documentation in resident files pertaining to problems/progress presented by residents, families and employees.
  • Initiates resident/family conferences as needed.
  • Maintains a high degree of resident satisfaction and evaluates resident satisfaction regularly.
  • Develops and maintains strong relationships with key vendors, resident families, and provides exceptional customer service.
  • Prepare weekly and monthly reports as directed by Owner
  • Maintains compliance with state and federal regulations and company policies and procedures.
  • Provides an on-call plan and assigns on-call responsibilities to ensure after-hours response to resident emergencies.
  • Achieves operational goals.
  • Stays up to date on industry trends and best practices, and continually seeks opportunities to improve operational processes, tools and techniques.
  • Performs other related duties as required.
