JOB SUMMARY:

VACFSS is looking for a motivated Office Manager for the Resources department. This position requires the training, mentoring, supervising, performance management and the overseeing of work assignments for administrative support staff. The Office Manager will demonstrate teamwork, leadership, organizational and interpersonal skills.
The Office Manager will will be responsible to ensure all Resource duties including caregiver contracts, Resources filing, off-site filing, criminal record checks, visa credit card reconciliation and cheque requisitions are all completed by the required deadlines. Support will be required for the Recruitment of foster caregivers, which will include mail outs and applications, and contract processing. Coordination of the Foster Caregiver Appreciation dinner and Caregiver Cultural Camp annually, including other tasks and projects as required by the Resources Program Manager that are consistent with the classification of the position. Weekly supervision meetings with each Resources administrative assistant as well as bi-weekly team meetings.
This position involves participating in OSH meetings, completing OSH minutes, completing OSH Rupert Office tasks, and filing of OSH information. You will ensure the safety of the building as well as follow-up regarding building maintenance, repairs, and coffee/water services, and ordering/monitoring personal protective equipment (PPE) for office staff. You will provide cross Program coverage when the Guardianship Office Manager is on leave including supervision of the Guardianship administrative assistants.

QUALIFICATIONS:

Education, Training and Experience:

  • A diploma in a business or administrative program; and
  • A minimum of one-year previous supervisory experience including supervision/leadership training; and;
  • A minimum of five years administrative experience demonstrating progressive responsibility is required; or
  • An equivalent combination of education and experience may be considered.
  • Experience and proficiency in using Windows-based computer applications is required;
  • Demonstrated strong organizational skills and conflict resolution skills are required.
  • Experience in a nonprofit organization is preferred.
  • Experience with MCFD MIS and DTS data systems preferred.
