JOB OVERVIEW:

We are seeking a highly organized and detail-oriented Administrative Assistant with retail experience, preferably in perfumery, clothing, or similar consumer products. The ideal candidate will support daily store operations, manage administrative tasks, handle documentation, and assist in improving overall store efficiency.

QUALIFICATIONS & SKILLS:

  • Proven experience as an administrator or office assistant, preferably in retail (perfumes, fashion, beauty, etc.)
  • Familiarity with inventory systems and POS software (e.g., Microsoft Excel, QuickBooks, or retail ERPs)
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to work in a fast-paced environment and handle pressure
  • Fluency in English; knowledge of Arabic is a plus

PREFERRED EXPERIENCE:

  • 2+ years in an administrative role in retail or customer-facing environment
  • Background in luxury retail, perfumes, fashion, or similar industry is a strong advantage

Responsibilities
  • Handle daily administrative operations of the retail store (inventory logs, invoices, receipts, etc.)
  • Manage and organize store files, product catalogs, and supplier documents
  • Monitor and update inventory records and ensure accurate stock counts
  • Assist with data entry and reporting (sales, stock movement, order tracking)
  • Coordinate with suppliers, delivery companies, and warehouse for smooth order fulfillment
  • Prepare purchase orders, quotations, and price lists
  • Support the store manager in HR tasks like scheduling, attendance tracking, and employee documentation
  • Help maintain visual merchandising documentation and promotional materials
  • Liaise with finance team for petty cash and monthly expense reports
  • Handle customer queries or complaints if required in the absence of the front staff
