SCHEDULE: Generally, 25 hours per week Monday – Friday 9:00AM - 2:00PM on-site. Pay Range: $19.03 - $24.50 per hour commensurate with experience PRIMARY FUNCTIONS: Provide administrative support to the Retail Services Department and Credit Union through various Administration functions. Subject matter expert for supply ordering. DUTIES and RESPONSIBILITIES: 1. Coordinate supply orders for the department including name badges, teller stamps, and business cards. Coordinate supply orders for the main office, such as water delivery, coffee, and other main office supplies not ordered per department. 2. Manage supply administration, ensuring cost containment of office supplies. Foster relationships with supply vendors to ensure favorable cost and service for the credit union. 3. Coordinate meeting rooms schedule/usage. Ensure proper set up of room upon request. Perform regular review of room conditions and report any issues to the Facilities Manager as needed. 4. When requested, organize/order food, refreshments, and beverages for Retail meetings. 5. Coordinate Van Log schedule to ensure sufficient and timely transport of materials/supplies as requested, including deliveries to 3rd parties. 6. Oversee Notary renewals, new applications, and terminations. 7. Prepare New and Closed Membership report for monthly Board Meeting package. 8. Perform duties of SharePoint (Central Point), including but not limited to updates to Retail pages and upload Retail forms to Central Docs forms repository. 9. Process the mail daily, including but not limited to in-coming and out-going, and all the mailroom functions. 10. Maintain postage machine, including meter balance, postage rate updates, usage reports, troubleshoot issues and supply orders/replacement, as needed, to ensure optimal operation. 11. Process transactions received through the mail. 12. Process returned mail, updating Core and sending notifications to members. 13. Stay current on job-related equipment, procedures and/or information by reading handouts/memos, attending meetings and seminars and other necessary means. 14. Adhere to all applicable Credit Union policies, procedures and regulations. 15. Maintain community involvement and participate in special projects, as needed. 16. Perform other duties as requested, or assigned Requirements Education: High school diploma or equivalent Experience: 1 to 3 years in an administrative support function Skills: Familiarity with Microsoft Word, Excel, ability to accurately perform detailed work, establish priorities, meet deadlines and work efficiently in a fast-paced environment; skilled in the use of general office machines and computers; high level of interpersonal skills, ability to interact professionally with individuals at all levels within the organization Traits: Flexible, efficient, self-motivated and ability to interact positively with co-workers WORKING CONDITIONS 1.
