KNOWLEDGE, SKILLS AND ABILITIES

Thorough knowledge of methods, approaches and procedures involved in theatre management, operations and promotion; thorough knowledge of advertising and marketing techniques, practices, and methods; ability to maintain websites and social media accounts; thorough knowledge and the ability to communicate ideas effectively both orally and in writing; ability to establish and maintain effective working relationships with city staff, artists city officials, associates, citizens and the traveling public. Intimate knowledge of the world of music and musicians highly prized.
Additional Qualifications
Strong communication and organizational skills; ability to manage multiple priorities.
Ability to meet deadlines and work in a fast-paced environment that changes often.
Computer proficiency, including event/ticketing platforms, spreadsheets, and basic website management.
Ability to work independently and as part of a collaborative team.
Flexibility to work evenings, weekends, and holidays as required by event schedule.

EDUCATION AND EXPERIENCE

Any combination of experience or education in Business Management, Marketing, Music, or another related skillset with a preference for experience in theater/venue management, advertising and marketing. Preferred skills in contract negotiation and artist relations experience, knowledge in live event production and hospitality and financial tracking and reporting.

PHYSICAL REQUIREMENTS

This work requires the occasional exertion of up to 25 pounds of force lifting and moving; work regularly requires speaking or hearing and using hands to finger, handle or feel, frequently requires extended standing, walking, sitting and reaching with hands and arms and occasionally requires climbing or balancing, stooping, kneeling, or crouching, pushing or pulling, lifting and repetitive motions; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, operating motor vehicles or equipment, theatre equipment and observing general surroundings and activities; work is generally in a moderately noisy location (e.g. business office, visitor traffic).

SPECIAL REQUIREMENTS

Possession of an appropriate driver’s license valid in the Commonwealth of Virginia.
Requires occasional overnight and weekend travel.

Responsibilities

ESSENTIAL FUNCTIONS

Event & Show Management
· Coordinate all non-technical aspects of live events including scheduling, logistics, and execution.
· Serves as primary contact for performers, booking agent, contract execution, hospitality, and rider requirements.
· Work closely with sound and technical staff to ensure successful production.
· Schedules personnel for operational hours, closing out and balancing cash register, inspecting facilities, operating equipment and other functions as required. Many times, these duties will be handled by the manager themselves, but may also be performed by staff and/or volunteers that are scheduled by the manager.
Ticketing & Box Office
· Manage ticket sales through TixrStudio, including event set-up, reporting, and reconciliation.
· Operate box office sales and supervise part-time staff and/or volunteers during shows.
Marketing & Communication
· Collaborate with third-party vendors and other partners to ensure timely promotion of events across print and digital advertising, website, and digital platforms.
· Ensure accurate and timely posting of events on the Rex Theater website and ticketing platform.
· Promotes positive image of the city through in-person contacts, advertising, marketing and written communications; receives and responds to inquiries via personal contact, correspondence, e-mails and phone.
Financial & Administrative
· Manage event budgets, invoices, and payments.
· Track and report on ticket sales, concessions, and overall performance.
· Maintain concessions inventory and oversee sales operations.
· Attends meetings and serves on boards and committees to promote and represent the Rex Theatre and the City.
· Consults with and provides reports to the City Manager and City officials as required.
· Works with city staff in procuring grants and other funding for the operation of the theatre.
_ Staff Supervision & Venue Oversight_
· Supervise part-time and event staff/volunteers, providing support as needed.
· Ensure compliance with safety regulations and maintain a welcoming environment for performers and guests.
