Job Summary: We are seeking a proactive, detail-oriented, and analytical RMA Planning & Procurement Specialist to support end-to-end planning activities across procurement, RMA workflows, and RMA operations. The ideal candidate will leverage strong supply chain knowledge, order management expertise, and cross-functional coordination skills to optimize material availability, streamline RMA line execution, and ensure seamless collaboration between procurement, planning, logistics, and engineering teams. Key Responsibilities: RMA Planning Support planning and scheduling for RMA repair lines, ensuring material readiness, resource availability, and adherence to turn-around targets. Interpret RMA capacity, demand variability, past consumption and repair loads to create efficient daily/weekly planning schedules. Work with Engineering, warehouse, and quality teams to ensure uninterrupted RMA workflows. Track Purchase orders, and repair jobs for accuracy, timely execution, and escalated resolutions. Participate in process reviews and continuous improvement initiatives (eliminating bottlenecks, optimizing cycle time, improving output efficiency). Procurement & Supply Planning Develop and execute procurement plans based on RMA demand forecasts, inventory levels, and stakeholder requirements. Manage and track Purchase Requisitions and Purchase Orders using ERP platforms, ensuring timely issuance, supplier alignment, and closure. Collaborate with Internal & External suppliers for material availability, price negotiations, delivery timelines, and discrepancy resolution. Support / Coordinate sourcing activities including RFQ handling, supplier integration, contract validation, and compliance checks. Monitor pricing accuracy, resolve price discrepancies, and support audit readiness. Order Management & Cross-Functional Coordination Handle full order management lifecycle including order creation, modification, holds, cancellation, contract validations, and customer coordination. Engage with sales, logistics, warehouse, quality, and finance teams to ensure alignment on order fulfilment, dispatches, and documentation accuracy. Act as a single point of contact for internal stakeholders regarding procurement, material readiness, and RMA scheduling. Ensure timely communication of delays, constraints, and risk mitigation plans. Stakeholder & Supplier Management Interface with global and regional stakeholders, offering timely updates on order status, material availability, escalation handling, and RMA progress. Coordinate with suppliers on delivery schedules, contract formalities, governance requirements, and compliance-driven activities (CSR, certifications, etc.). Drive contract workflows and ensure closure of documentation cycles. Data Analytics, Reporting & Continuous Improvement Prepare and maintain dashboards in Excel/Power Query/ Power BI to track procurement cycles, inventory health, RMA output, RMA status, and SLA adherence. Analyse process gaps, propose improvements, and support implementation of enhanced workflows. Support new joiner training and promote cross-functional collaboration to standardize processes. Requirements Qualifications: Bachelor’s Degree in Electronics Engineering / Supply Chain or related field. Experience in procurement operations, supply chain planning, RMA planning, or order management roles. Hands-on experience in Oracle ERP, CRM tools, MS Excel (Advanced), Power Query, Power BI, and reporting tools. Strong understanding of supply chain workflows, planning logic, supplier communication, RMA line operations, and RMA cycles. Excellent analytical, coordination, and problem-solving skills with ability to handle high transaction volumes. Strong verbal and written communication skills; ability to manage stakeholders and resolve escalations effectively. Preferred Skills: Background in Engineering with exposure to RMA planning/quality control. Experience working with global stakeholders and multi-functional teams. Proactive mindset with a strong drive for operational excellence and continuous improvement. Ability to interpret data, prepare dashboards, and support decision-making.
