Description The RV Service Advisor / Warranty Administrator acts as the primary liaison between the customer and Transwest when service is required while also managing warranty claims and administrative functions for the service department. This role meets with customers, listens to their concerns, recommends repair and maintenance services, and ensures accurate documentation and timely submission of warranty claims. This position provides one consistent source of communication for the customer while supporting technicians and the Shop Foreman by minimizing interruptions and ensuring all repair orders, warranty documentation, and records are complete and accurate. Answer service calls and provide timely updates regarding repair status, scheduling, and completion timelines. Greet customers and interview them in a professional manner to determine needed repairs and services. Obtain all necessary customer and vehicle information to establish and maintain a business relationship. Create, update, and close repair orders (ROs) including documenting vehicle condition, labor estimates, and required parts. Prepare and present estimates for repairs and services and obtain proper authorization and signatures. Upsell additional services, maintenance, and accessories when appropriate. Coordinate and communicate repair order details with technicians and the Shop Foreman. Monitor repair progress and ensure timely completion of work. Review completed work with customers, finalize invoices, and collect payment. Contact customers regarding vehicle pickup or delivery. Perform invoicing of repair orders and maintain accurate service records. Monitor and report on Work In Progress (WIP) to support department efficiency. Perform quality control checks on completed repairs to ensure accuracy and completeness. Assist Service Manager and Shop Foreman with daily operational tasks and reporting. Support payroll auditing for service department employees as needed. Maintain organized and up-to-date service, customer, and warranty records. Warranty Administration Duties: Review all warranty paperwork to ensure proper documentation and compliance with manufacturer or vendor requirements. Prepare, complete, and submit warranty claims with all required supporting documentation in a timely manner. Track and follow up on submitted claims to ensure prompt reimbursement. Maintain thorough knowledge of manufacturer and vendor warranty policies and procedures. Utilize technical knowledge to verify proper repair documentation for warranty coverage and payment. Communicate with vendors and manufacturers to resolve claim discrepancies and negotiate “grey area” approvals. Provide regular updates and reporting on warranty claim status to the Service Manager. Ensure compliance with all warrantor recordkeeping requirements. Other duties as assigned by Manager. Requirements WORK ENVIRONMENT & PHYSICAL ABILITIES: Required to perform work inside and outside, in all-weather situations, at the shop division location. Requires frequent sitting, standing, balancing, bending, or stooping for prolonged periods of time. Manual dexterity, fine manipulation, the ability to reach with hands and arms, the ability to lift up to 80 lbs. Must be able to operate simple, complex and heavy-duty machinery. Normal range of hearing and vision. REQUIRED EDUCATION, EXPERIENCE, KNOWLEDGE & SKILLS: High School diploma or equivalent. Valid Driver's License and MVR in good standing. Ability to multitask. Someone who is detail-oriented. Excellent written and verbal communication skills. Ability to work any shift if needed. Ability to successfully complete a general abilities assessment, pass a post-offer background check, physical and drug screen. PREFERRED EDUCATION, EXPERIENCE, KNOWLEDGE & SKILLS: Previous experience as a service writer or advisor. Previous Ford Technician experience. Ford current active or user of Maintenance Menu and MPVI Report System. Knowledge of diesel engines, gas engines, drivetrain and suspension.
