ADMINISTRATIVE ASSISTANT - LCI HIGH SCHOOL

We are excited to have an Administrative Assistant opportunity available immediately.

Lethbridge School Division is looking for an energetic professional who doesn’t mind wearing multiple hats. The Administrative Assistant is directly responsible for all administrative support functions and processes within the office. Responsibility also includes performing specialized administrative support functions and for supervising School Support staff performing assigned tasks and more routine work. Administrative support functions include maintaining all school and student records, accounting and budget functions, providing input to administrative plans, reception, word processing, purchasing and inventory control. The Administrative Assistant also coordinates information and provides special reports for internal and external use.
The Administrative Assistant has considerable contact with students, parents, administrative and teaching staff and Division Office staff. Contacts at this level may include participation on internal committees and resolution of routine administrative problems requiring a good understanding of school requirements and Division policies. External contacts frequently involve providing information and require fostering and maintaining good relationships with the school community.
Supervisory positions are responsible for overseeing the work of one or more employees performing office support functions. Responsibilities include ensuring work standards are maintained, time frames are met, assigning new work and providing direction and training on new procedures. Positions at this level provide input to performance reviews and may participate in selection of office staff.

The successful candidate will possess demonstrated abilities in the above mentioned administrative responsibilities and effective working relations with the public, students, school staff, administrations and division officials.

WE ARE LOOKING FOR EXPERIENCE IN PERFORMING THE FOLLOWING:

  • Knowledge of the policies, procedures and regulations of the school, school division and Alberta Education.
  • Manage budget lines, accounts payable, vendor payments and onsite cash management.
  • Data and report management using excel.
  • Coordinate purchasing and ordering for the school.
  • PowerSchool – daily student attendance, weekly attendance reporting, updating student demographics, medical information inputting and updating, locker/lock management.
  • Cash on Line - assisting parents on set up and function of online banking, provide statements and information for parents, bank deposits for fundraised money.
  • Manage school cumulative files and student records - student registrations, sending and receiving cumulative files, ensuring cumulative files meet content requirements, organizing and managing student files, maintaining historical student records.
  • Conference management - setting up appointments for Parent/Teacher Conferences, assisting parents with online bookings and organization of teacher schedules.
  • Digital Media – updating information to the school web site, sharing school events and notifications using school Facebook and Twitter accounts.
  • School publications and programs - editing, desktop publishing and supporting administration in planning.
  • In depth capabilities and knowledge of a variety of the software applications is essential, specifically PowerSchool, PASI, Extranet, School Cash and ADW.
  • This position is within a high school, and as such the successful candidate should have experience and an understanding working with the diverse needs of a high school and its staff and students.
  • The successful candidate must possess outstanding abilities to work within a team environment, as well as to efficiently multi-task in a very busy office
  • General administrative supports to administration and staff as needed.

EDUCATION AND EXPERIENCE REQUIRED:

  • Post-secondary diploma in office/business administration with some related experience.
  • Proof of Grade 12 or General Educational Development (GED). Education received outside of Canada will require a Educational Credential Assessment (ECA) or International Qualifications Assessment Service (IQAS) confirming high school or post secondary equivalencies.
  • Combination of education and experience.
