QUALIFICATIONS:

• 3-5 years of relevant billing, accounting, or order-to-cash experience, preferably using NetSuite and Salesforce.
• Experience with subscription billing systems (SaaS).
• Netsuite experience with SuiteBilling experience preferred
• Excellent accounting skills
• Attention to detail
• Demonstrated success working independently and collaboratively in a remote team setting.
• Meticulous attention to detail, excellent communication skills and ability to prioritize tasks.
• Able to participate in interview assignments involving NetSuite scenarios and written communication assessments.

Vastian is looking for a SaaS Billing Specialist. As a SaaS Billing Specialist, you will have an exciting opportunity to work in a fast-growing company while performing billing tasks that directly impact our customers’ ability to access their subscriptions. RESPONSIBILITIES AND DUTIES:

• Review sales orders in Salesforce, ensuring alignment with signed contracts and verifying accuracy of all key data points before processing into NetSuite.
• Audit and validate subscription data in NetSuite, confirming correct billing terms, revenue recognition settings, and appropriate item coding. Proceed to create and issue invoices in NetSuite, ensuring timely and accurate distribution to clients.
• Collaborate with the Accounting team to reconcile order activations, revenue recognition, and client billing data between NetSuite and Salesforce reports.
• Monitor ageing reports and outstanding customer balances; follow up promptly to ensure timely and full payment from clients.
• Maintain up-to-date client demographic and billing information within both Salesforce and NetSuite to ensure accurate invoices and collections.
• Respond to internal and external billing inquiries promptly via phone, email, and Salesforce case queues, providing clear and accurate information.
• Process refund requests in accordance with company policies and client usage, ensuring appropriate documentation and approvals are in place.
• Answer incoming calls throughout the day while managing other billing responsibilities with a high level of focus and organization.
• Participate in process improvement initiatives to streamline the order-to-cash process and enhance billing accuracy and efficiency.
• Assist in month-end and quarter-end close processes by preparing billing summaries, deferred revenue reports, and audit support as needed.
• Work cross-functionally with Sales, Customer Success, and Legal teams to resolve billing discrepancies and improve data integrity across systems.
