Safety, Equipment, Fleet and Facility Coordinator - Job Description   Job Title:  SEFF Coordinator Reports to:  COO   The SEFF Coordinator has the overall responsibility for the safety at all locations, the maintenance and upkeep of all equipment, and the assistance in the purchase of new equipment, the maintenance and upkeep of the entire fleet, the aid in the purchase of new vehicles, and the maintenance and upkeep of all facilities.  This individual must have knowledge of OSHA and DOT guidelines as they relate to our industry.  The SEFF Coordinator must be open and available to discuss SEFF matters with the entire workforce.   ESSENTIAL FUNCTIONS & JOB RESPONSIBILITIES   Rolling Asset – tractors, fleet, trailers, forklifts * Support acquisition, licensing, and lifecycle management of vehicles and rolling assets, * Schedule regular inspections, preventative maintenance and coordinate emergency repairs. * Monitor and audit equipment condition and usage, ensuring safe operation, proper certification, and compliance with applicable rules and regulations * Track fuel costs, schedules, and overall fleet performance, providing reports and identifying opportunities to improve efficiency and reduce costs. * Conduct fleet safety training for all new hires and promote adherence to company policies and regulations. * Conduct fleet safety training for new hires for all locations. * Promote adherence to fleet rules and regulations. Safety * Promote safe practices to all staff. * Conduct safety orientation for all new employees. * Visit locations to conduct audits on personnel, equipment, and materials; and actively improve safety companywide. * Develop and implement health and safety programs in compliance with legal and environmental regulations, evaluating workplace practices, procedures, and facilities to identify risks. * Analyze accident reports and injury case studies with the Incident Investigation Team, tracking incident metrics and reporting findings. * Deliver safety training and collaborate with managers to report on safety performance, awareness, and key metrics. * Monitor compliance with policies and regulations, through inspections, and promote safe practices while recommending improvements and preventative measures. Building & Yard Maintenance * Find relevant vendors and service providers. * Manage maintenance records, implement maintenance plans, uphold quality standards, and establish maintenance protocols. * Ensure essential tools and machinery are in working order by performing regular inspections and calibrations. * Regularly review policies and procedures. * Supervise repair work performed by third-party maintenance teams through communication with the warehouse manager and COO. * Oversee the applications for and receipt of necessary permits. * Coordinate on-site security. Other * Manage purchasing and inventory of equipment, tools, and supplies for all Company Locations. * Implement training and continuing education for all PMI equipment, including forklifts, welding, cutting, and cranes. * Conduct yearly inventory with values of all items purchased for rolling assets, safety, building, and yard, and track trends for all locations. Qualifications * A bachelor’s or associate degree or related discipline is preferred. * At least three years' experience in safety and fleet coordination, OSHA, and DOT experience preferred. * Fluency in Spanish is a plus. Required Skills and Abilities (cut this in half) * Strong knowledge of OSHA and DOT regulations with safety and fleet experience. * Skilled in creating, reviewing, and implementing policies and procedures. * Detail-oriented, flexible, and able to adapt to changing work environments. * Maintain confidentiality and work professionally with diverse teams and external partners. * Proficient in email, word processing, and spreadsheets. * Travel as required, with minimal overnight stays. * Monday - Friday, Full Time Position. WORK ENVIRONMENT * The ability to work in an office setting is required. * The ability to sit, bend, twist, squat, reach and stand/walk for an entire workday. * The ability to work in Texas weather, i.e., heat, cold, dust, or rain. * The ability to walk on different surfaces of warehouses and yards, i.e. hard surface, or gravel surface. * The ability to lift up to 30 pounds.   NOTE: The above statements are intended to describe the general nature of work performed by the SEFF Coordinator.
