JOB SUMMARY

The Safety Specialist provides administrative support in the areas of Workers’ Compensation and Safety, ensuring compliance with regulatory requirements and promoting a safe workplace environment. This role is responsible for maintaining accurate records, data entry, coordinating safety-related training and assessments, and assisting with incident reporting and investigations.

SKILLS/ABILITIES/KNOWLEDGE

  • Ability to effectively use Office 365 applications, including Excel, Word, PowerPoint, and Outlook.
  • This position requires intermediate to advanced Excel and Power Point file creation and task management.
  • Excellent verbal and written communication skills
  • Strong organizational skills and the ability to manage multiple priorities under deadlines.
  • Self-motivated with the ability to work independently.
  • Effective collaboration and teamwork skills.
  • Ability to occasionally work outside regular business hours as needed, based on operational requirements and management discretion.
  • Strong analytical skills

EDUCATION AND EXPERIENCE

  • Associate degree or 2–3 years of experience in safety support or related administrative work required.
  • Experience in Workers’ Compensation and injury case management preferred.
  • Familiarity with database administration, learning management software, Safety Management Systems (SMS), or HRIS systems.
  • DOT and OSHA compliance experience preferred.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS

  • Work is primarily performed in a climate-controlled office setting, with occasional travel to various City departments as needed.
  • The position requires prolonged periods of sitting, frequent use of computers and office equipment, and participation in meetings or collaborative work.
  • Occasional work outside regular business hours may be required based on operational needs and management discretion.

Responsibilities
  • Collect and review incident reports involving bodily injury, property damage, or other potential liabilities affecting the City.
  • File insurance claims and reports in a timely manner.
  • Maintain accurate and organized incident and claims records.
  • Track and document all employee safety training to ensure compliance.
  • Administer the Safety Management System (SMS) software, providing guidance to departmental supervisors to ensure proper usage and interaction.
  • Effectively communicates safety and health-related information to employees through a variety of channels and resources.
  • Schedule and oversee Occupational Health assessments, maintain employee records in compliance with OSHA requirements, including respiratory fit testing, hearing conservation, vaccinations, and fit-for-duty evaluations.
  • Oversee DOT Drug and Alcohol random screening compliance and coordinate scheduling with supervisors and the Medical Review Officer (MRO).
  • Maintain Commercial Driver (CDL) compliance records, including licenses, endorsements, medical certifications, and annual motor vehicle records (MVRs).
  • Assists with various human resource activities or other duties as assigned.
