Description TITLE: Safety Specialist (Compliance & Claims Management) DEPARTMENT: Safety and Compliance REPORTS TO: Safety and Compliance Manager FLSA STATUS: Exempt Position Summary: The Safety Specialist, under the supervision of the Safety and Compliance Manager, serves as the department's compliance and systems backbone. This role owns all claims management, regulatory filings, fleet and driver compliance, and incident trend analysis. The Safety Specialist receives and drives all downstream insurance, compliance, and legal workflows. This position produces the bi-weekly incident trend reports that direct field and training priorities across departments. Essential Functions: Creates and actively maintains documented follow-up on all open safety related claims and coordinates with insurance carriers, outside counsel, and internal departments to move matters toward timely resolution. Oversees the completion and submission of all required DWC workers’ compensation forms, ensuring accuracy and timely delivery to the insurance carrier for every workplace injury. Maintains the OSHA 300 injury and illness log on a continues basis, reviews all recordability determinations, and prepares the annual OSHA 300A summary for required posting. Creates and maintains Driver Qualification files utilizing our 3rd party system for all CDL and non-CDL drivers in accordance with FMCSA to include license, medical card, MVR, drug screens, and Clearinghouse queries. Owns all required regulatory fillings across federal, state, and local agencies, including TCEQ, FMCSA, EPA, 2290, and local permits – managing deadlines, submissions, and renewals on the required schedule Schedules and documents the company’s FMCSA random drug and alcohol testing program each quarter, ensuring the annual minimum testing rate is consistently met. Produces bi-weekly incident trend reports analyzing patterns by driver, incident type, location and time period – distributes finding to the safety & training department to direct field priorities and makes recommendations and tracts completion of action items to reduce future incidents. Compiles a monthly department-wide training and compliance report for leadership, incorporating filed observations, and training data from the Training Specialist. Ability to manage multiple concurrent open claims files with consistent documentation and follow-through to resolution High attention to detail and deadline discipline across concurrent regulatory filing obligations Ability to proficiently navigate multiple computer programs (e.g. Avatar Fleet, FMCSA Clearinghouse, TCEQ, STEERS, and Microsoft Office) Ability to prioritize activities in order to achieve individual and team expectations and goals Education and Experience Bachelor’s Degree in related field or equivalent combination of education and experience, preferred 2-5 years’ experience in safety compliance, claims management, fleet administration, or a related regulatory role, required Prior experience maintaining DOT Driver Qualification files or working with FMCSA compliance systems, required Previous experience with workers’ compensation claims management and DWC form process in Texas, required Previous experience utilizing web-based programs and Microsoft Office products, preferred Bilingual, preferred Working Conditions This position is primarily office-based with extended periods of sitting, standing, and using computer-based systems to manage compliance documentation, portal entries, claims files, and regulatory filings.
