Responsibilities

The Sale Coordinator position is an integral role within this expert department, supporting the Head of
Department and specialist team in the successful delivery of 17 sales per year and coordinating the day-to-day operations of the department.

You will be responsible for:

  • All stationery/gemmological equipment orders
  • Managing a variety of internal functions on ‘A3’ (Auctioneer 3), Bonhams’ intranet system and

primary business tool which include:
➢ Receipting property onto A3 and ensuring everything is correctly tagged with
corresponding barcode labels
➢ Updating contracts on the system as required and issuing vendors with finalised contracts
for sale
➢ Requesting/uploading client information and documentation to A3
➢ All system-generated pre- and post-sale correspondence and some manual
correspondence that is more ‘bespoke’ including the issue of Introductory Commission

letters

  • The secure transfer of property between our London, UK regional and overseas

offices/salerooms, both pre- and post-sale

  • Booking security guard(s) and drivers for specialists/department heads when travelling between

locations (including to/from external photographers) via the Operations team

  • Liaising with the Gallery team in the set up and delivery of public previews for five auctioneer-led

(“live”) sales per year

  • Obtaining quotes for laboratory testing and workshop repairs; maintaining up-to-date records of

all property that is out at labs and workshops

  • Printing and binding condition reports and laboratory certificates for these previews
  • Liaising with Client Services and the Bids department as and when required pre- and post-sale
  • As an important part of the team, you will also be required to support many day-to-day activities

and ensure the department has all it needs to run smoothly and effectively

  • Inventory management and regular stock-takes

  • Previous experience in an administrative position (not necessarily from an auction background)
