Responsibilities

I. PURPOSE

The Sales Admin Assistant supports the sales and business development teams by preparing, organizing, and submitting bid documents, managing proposal timelines, coordinating with internal departments, and ensuring compliance with client requirements. They also help in maintaining accurate documentation, monitoring bid progress, and assisting in customer communications to drive successful outcomes.

II. DUTIES AND RESPONSIBILITIES

  • Responsible in preparing Sales requirements and support for daily sales activities which includes purchase requisitions up to request for delivery of products, solutions and services
  • Database management, reports and appointment schedules
  • Monitoring group sales booking performed by individual members of the sales
  • Preparing eligibility and technical documents for government and private biddings
  • Attends to orders or inquiries by clients and principal/suppliers or distributors
  • Performing other tasks assigned by the Account Manager, Sales Manager, Business Unit Head and other members of the group
  • Bidding preparation
  • Prepares SOR, process Sales Order, monitors purchase orders
  • Prepares client accreditation
  • Monitors the deliveries to client (prepares ERF and pullout request)
  • Responsible in updating/monitoring sales record
  • Coordinates with Insurance partner to request for bonds
  • Responsible for supporting all Sales team, PM team, SDM team, SA team
  • Responsible in answering phone calls and client queries
  • Responsible in any administrative task (filing documents, room reservation, stocks inquiry etc.)
  • Prepares reimbursement
  • Perform other tasks that may be assigned from time to time
