JOB SUMMARY Generic Position Summary As a member of the professional staff, this position contributes specialized knowledge and skill in a discipline area to support the team and/or department business objectives. Generally, works under supervision but is expected to have the knowledge of the Standard Processes of the department to confidently and independently produce high standard, compliant, sales contracting documentation. Specific Job Summary: The Sales Administrator will primarily ensure that sales administration is efficiently completed in line with the processes and policies. This position will ensure quality and compliant processes are adhered to in all areas of contract production, financing applications, payment collection, follow-up, sales status reporting and customer file maintenance. This position will ensure compliance on document processing, cash management, reporting and work on continual process enhancement at a sales administration level. It is essential for this position to work closely with Sales, Quality Assurance and Closing team to provide quality customer service. CORE WORK ACTIVITIES Generic Expected Contributions: Performs tasks as assigned, to contribute to team, department and/or business results. Ensure quality contract document procedures and suggest improvements. Have a thorough understanding and knowledge of the product. Ensure contract documentation is accurate and provides correct representation. Protect Personally Identifiable Information (PII) as outlined by Company’s Policies. Performs other duties as appropriate. Specific Expected Contributions: Receives and checks for legibility and accuracy of the completed Purchase Summary Worksheet and Contract documents from Sales Associates. Follows established operational procedures for Identity Verification and OFAC/CDC checks as required. Acting on financing information received, completes file with required back up verification documentation. Informs Sales Management on any related issues. Follow through on cancellations, defaults and non-qualifications. Responsible for assuring all contracts are processed and batched “Ready to Close” to closing team in a timely manner. Responsible to scan all Ready to Close contracts to Documentum. Ensure quality in areas such as rescissions, pricing, minimum deposit requirements and contract switches (Upgrade or downgrade in level of points) etc. Enforcement of any procedures put in place to ensure all contract documents are reviewed prior to execution and again following execution of the documents. Produces prompt accurate sales contract documents and provide to Sales Associates. Follows Standard Operating Procedures for all daily required tasks relating to the New Owner Administration Department. Coordinates with Closing team and Sales team on any changes and modifications to contract documents. Communicate with Marketing and Sales Department regarding status of contracts, filing document requirements and follow-up. Provides assistance to New Owner Administration team. Produces daily and weekly reports as requested, relative to sales, cancellations, missing documentation and defaults. Ensures proper filing and storage of contract documents. Ensures compliant working practices and security within the New Owner Administration working area. Ensures quality processes and upholds controls in the following areas: Pricing. First Day Benefits. Contract Execution. Rescissions. Minimum down payment requirements. Contract switches (upgrade or downgrade in Points levels). CANDIDATE PROFILE Education and Experience Candidate must possess at least a Diploma or higher. Knowledge and experience in Sales Administration is required. Able to handle a flexible work schedule which will include weekends and nights. Experience in high volume, fast-paced, results oriented business environments.
