Responsibilities

The Sales Administration Executive will play a vital role in supporting the Sales Director and
broader sales team by handling key administrative tasks that ensure smooth operations
and effective client management. This role will be responsible for managing purchase
orders (POs), processing invoices, maintaining accurate sales records, and coordinating
with internal teams to ensure timely deliveries. The ideal candidate will have a strong
background in sales administration, excellent organisational skills, and a proactive
approach to problem-solving.
Responsibilities

Order and Invoice Management:

  • Process purchase orders (POs) from retail partners and ensure accurate order entry

into the system.

  • Generate and send invoices to retail partners, ensuring accuracy and timeliness.
  • Track and manage the order-to-cash cycle, ensuring prompt payment collection.
  • Coordinate with the finance team to resolve any billing discrepancies.

Sales Support:

  • Maintain accurate and up-to-date sales records, including account details,

contracts, and order histories.

  • Assist the Sales Director with client communication, including sending product

catalogs, price lists, and promotional materials to new and existing customers.

  • Coordinate with the 3PL warehouse and logistics teams to ensure timely delivery of

orders.

  • Prepare sales reports and performance summaries for internal reviews.

Administrative Support:

  • Manage the onboarding process for new retail partners, ensuring all necessary

documentation is completed.

  • Maintain a calendar of key sales activities, including product launches, promotions,

and client meetings.

  • Support the planning and coordination of trade events, including assisting with

booth logistics and post-event follow-ups.

  • Handle general administrative tasks, such as scheduling meetings, managing email

correspondence, and updating CRM systems.

Collaboration & Communication:

  • Work closely with the Sales Director, Americas, to ensure sales operations run

smoothly.

  • Partner with internal Singapore-based teams, including finance, logistics, and

marketing, to ensure alignment on sales processes.

  • Serve as a point of contact for retail partners regarding order status, invoicing, and

general inquiries.

Requirements

  • Prior experience in a sales support or administrative role, preferably within the

collectibles, toys, or lifestyle product industries.

  • Strong organisational and time-management skills with the ability to effectively

manage multiple tasks simultaneously.

  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and in using CRM

systems.

  • Familiarity with the order-to-cash process, including PO management and invoicing.
  • Knowledge of the US specialty retail landscape, or the toys and collectibles space

would be a plus.
