This role will work closely with the Hospitality Sales Team to ensure efficient day-to-day functions, accurate data management, and the seamless delivery of client packages and marketing collateral. What a day in the life looks like? Administration: proactively support the Sales Team by managing the Hospitality Inbox, anticipating department priorities and take on ad-hoc tasks, and developing high-quality sales materials and presentations. Client Management: serve as a key point of contact by providing timely information to clients and maintaining professional relationships with both internal and external stakeholders to ensure a premium experience. Reporting & Operations: execute precise data entry, assist with managing inventory spreadsheets, put together client packages and tickets, and work closely with the Finance representative to run and reconcile reports. Systems & Marketing: collaborate with the Hospitality team to draft EDMs and customer lists, ensure websites are up to date with hospitality packages and details and maintain sales collateral and support material. About You Essential experience & skills: 1-2 years of experience in a similar administrative or coordinator role. Experience presenting to leadership teams, Board of Directors, and addressing concerns. Proven ability to work quickly and accurately in a fast-paced environment, whilst managing conflicting deadlines and multiple projects. Proficiency in Excel with a sharp eye for detail in data entry and reporting. Strong interpersonal skills, with the ability to communicate effectively, maintain professional relationships, and build rapport with stakeholders. High levels of organisation, planning, and the ability to work pro-actively to support the team. Able to work with flexibility and cultural competency to maintain structure in a high-growth environment and work well in a collaborative, values-driven, and energetic team. Desired experience: CRM & EDM: Familiarity with CRM platforms and a basic understanding of how to build and send email marketing (EDM) campaigns. Design Basics: Competency in Canva to create or update simple, on-brand social media and marketing graphics. Industry Context: A foundational understanding of the ticketing or entertainment industry (or a genuine passion for the space).
