Responsibilities

ROLE SUMMARY

The Sales & Administrative Coordinator plays a pivotal role in both client acquisition and care. You will be the first point of contact for prospective and current clients—managing communication across phone, email, and social media. Your role is to nurture leads, convert enquiries into bookings, manage the diary, and ensure a smooth, luxurious client journey from first contact to follow-up.

KEY RESPONSIBILITIES

  • Sales & Lead Management
  • Respond promptly to email, phone, and social media enquiries.
  • Qualify and follow up on leads with professionalism and urgency.
  • Convert enquiries into consultations and treatments.
  • Track leads, conversions, and sales performance using CRM or sales tracking tools.
  • Build relationships with clients to encourage repeat business and referrals.
  • Client Communicationo Answer phone calls and messages courteously and efficiently.
  • Respond to DMs and comments across social media channels (Instagram, WhatsApp, etc)
  • Maintain a polished and brand-aligned tone in all communications.
  • Send appointment confirmations, reminders, and follow-ups.
  • Booking & Diary Managemento Schedule appointments accurately, coordinating with practitioners and treatment rooms.
  • Update client records and manage booking systems.
  • Handle rescheduling and cancellations professionally and empathetically.
  • Administration and ad hoc reception duties
  • Maintain accurate sales and client databases.
  • Prepare reports on sales performance and enquiry trends.
  • Support the clinic team with day-to-day administrative tasks.
  • Ensure confidentiality and professionalism in handling client data.
