Responsibilities:

2 KEY PURPOSE:

Maintain client data-base information, to provide effective administrative support to the sales and ensure customer satisfaction where required and answer client queries and prepare sales documentation

3 REPORTING RESPONSIBILITIES:

➢ Establish excellent customer relationships and provide a high standard of service to customers (both internal and external) in accordance with company policy.
➢ Provide administrative support to the Sales Manager, Sales Team Leader and other sales staff.
➢ Operate manual and computerized office systems, e.g. filing papers as required and ensure these are accurately processed within set deadlines.
➢ Undertake general office duties including dealing with incoming post, fax and emails; drafting and sending standard letters and emails, scanning documents, preparing shipments for contracts or customers giveaways, etc.
➢ Promptly answer and redirect any incoming telephone calls and serve visitors in an efficient and courteous manner.
➢ Take messages and call back information as required and ensure that all enquiries are effectively dealt with to a satisfactory conclusion.
➢ Assist with the arrangements for meetings and training and to take notes and minutes as required.
➢ Satisfactorily deal with any queries or complaints within set deadlines.
➢ Ensure that all records (manual or electronic) are up-to-date and accurate.
➢ Keep staff notice boards up-to-date and tidy.
➢ Keep personal skills and knowledge up-to-date.
➢ Comply with the company dress code and maintain a smart, business-like appearance at all times.
➢ Present a supportive, positive and enthusiastic attitude towards the job, the company and colleagues at all times.
➢ Actively promote the benefits of the company and its products and ensure that company policy and procedures are adhered to at all times
