What you'll do

• Work as part of the Sales Administration team, reporting to the Senior Sales Administration Team Lead.
• Meet deadlines and service standards, and contribute to a collaborative, high-performance culture.
• Process importer purchase invoices on the Keyloop Dealer Management System.
• Process new and used vehicle order forms, invoices, and related documentation.
• Keep vehicle transaction records and customer details accurate.
• Work daily with Sales and Finance to progress orders and resolve administration queries.
• Support customer-facing teams with accurate documentation and timely updates.
• Administer manufacturer discounts, including applications, approvals, and documentation.
• Manage SEAI grant applications for electric vehicles, submitted on time and compliant.
• Set up and administer vehicle warranty registrations.
• Liaise with importers on vehicle payments, documentation, and reconciliation.
• Keep all documentation complete, accurate, and compliant with importer and manufacturer standards.
• Keep data accurate across all systems, and support weekly reporting for sales, finance, and operations.
• Spot process gaps and suggest improvements to the sales administration workflow.

What you'll need

• 2 to 3 years' experience in sales administration.
• Strong written and verbal communication with colleagues and customers.
• Highly organised. Able to multitask, manage competing priorities, and meet deadlines under pressure.
• Proficient in Microsoft Office and quick to learn new systems.
• Knowledge of a CRM or dealer management system, such as Kerridge or Keyloop, is an advantage.
• Strengths in stakeholder management, accuracy, problem-solving, and customer focus.
