Description Summary The Sales Administrator manages inbound leads, books tables and small events, and keeps the sales pipeline organized so the sales team can focus on closing and relationships. This role owns CRM accuracy, reporting, and day to day sales administration. Essential Functions Qualify and route inbound leads from web, phone, socials, and walk-ins; schedule follow ups and set reminders Book tables and private lounge holds; confirm details, collect deposits, and issue confirmations and floor notes Maintain CRM data accounts, contacts, products, pipeline stages, and tasks with high accuracy Build weekly dashboards and month end reports leads, conversions, revenue by segment, deposit status, aging Prepare proposals and simple contracts using approved templates; track signatures and payments Coordinate with hosts and operations on guest lists, minimums, comps, promo codes, and special requests Run light outreach lists birthdays, reactivation, and event pushes; send approved email or text campaigns Reconcile deposits and comps, flag variances, and support close with clean backup Keep sales collateral current menus, packages, pricing, one pagers, and floor plans Document and continuously improve SOPs across lead handling, booking, and reporting Minimum Requirements One year in sales coordination, reservations, events, or front of house admin Proficiency with a CRM and spreadsheets; fast and accurate data entry Clear written and verbal communication with professional guest etiquette Strong organization and follow through; able to manage many moving parts Availability for evenings and weekends based on business needs Preferred Qualifications Experience with reservation or table management platforms and payment links Working knowledge of reporting pivot tables, lookups, or basic BI tools Hospitality or nightlife experience; light design skills for proposals and recaps Core Competencies Customer focus and service recovery Detail orientation and data accuracy Time management and prioritization Collaboration and cross team communication Problem solving and sound judgment under time pressure Process discipline and continuous improvement Confidentiality and professional integrity Learning agility and coachability Results orientation and ownership Key Performance Indicators Speed to first response and SLA compliance Lead to booking conversion and show rate Revenue per booking and add on attachment rate CRM task completion and data completeness Accuracy and timeliness of weekly and month end reports Tools CRM, reservation or table platform, spreadsheet and presentation tools, e signature, payment links, shared drive. Compensation based on experience; eligible for performance bonus tied to conversion, revenue, and data quality. Work Environment Office and venue settings with periods of computer work and guest interaction; occasional late nights during peak events.
