JOB SUMMARY

Provide essential administrative support to the Sales team by managing offers, full CRM support, documents, and agency coordination to ensure smooth and efficient sales operations.

REQUIRED QUALIFICATIONS

  • Bachelor’s Degree in Business Administration or related field.
  • 2+ years in a sales admin or coordination role.
  • Proficient in Microsoft Office and CRM systems.
  • CRM and document management proficiency.

PREFERRED QUALIFICATIONS

  • Experience in real estate or luxury property sector.
  • Familiarity with Dubai market and RERA regulations.

Responsibilities
  • Generate sales offers based on the Sales team’s requests, ensuring accuracy and timely issuance to clients and agencies.
  • Coordinate the approval process for sales offers and handle unit reservations as instructed by the Sales team.
  • Manage the printing, signing, and distribution of booking forms and SPAs, coordinating with clients and internal management to complete all formalities.
  • Handle the onboarding of new agencies by collecting and verifying the required documentation, ensuring compliance with company standards.
  • Draft, finalize, and distribute agency agreements after receiving necessary approvals, ensuring smooth communication with agency representatives.
  • Issue Marketing NOCs to registered agencies, facilitating their promotional efforts and maintaining a professional relationship.
  • Act as the daily point of contact for agencies, addressing queries about sold units, commission percentages, and operational needs.
  • Set up and manage WhatsApp groups for efficient communication between agencies and internal sales teams, ensuring smooth collaboration.
  • Assist sales agents by generating inquiries from potential clients, supporting their efforts to convert leads into sales.
  • Track and document sales agents’ meetings and update the CRM system accordingly, ensuring an accurate record of all client interactions.
  • Archive and maintain a well-organized record of booking forms, SPAs, and agency agreements, ensuring accessibility and compliance with company policies.
  • Provide ongoing administrative support to the sales team, helping them meet targets and overcome operational challenges.
