Company Description Searcys are looking for a Sales and Events Coordinator to join the team at one of their City based venues, The HAC. As a Sales and Events Coordinator you will manage all aspects of event coordination and planning from the initial enquiry through to handover to operations, ensuring a seamless transition from sales to delivery. This role plays a key part in converting enquiries, securing essential event details, and coordinating with clients and internal teams to deliver successful events. The HAC is quite unlike any other City venue; a magnificent Grade II listed building set in a five-acre garden hidden away in a quiet location just a couple of minutes walk from Old Street. As a Sales and Events Coordinator, you will receive the following industry-leading benefits: 50% discount across Searcys venues Enrolment into the Searcys pension scheme Up to 33 days annual leave (dependent on job role) Access to everyday discounts and communication portal Employee assistance program and qualified Mental Health First Aiders Enrolment into Searcys Champagne School Meals are provided on shift when working within one of our venues Your birthday off to celebrate in style A day off to volunteer/give back to the charity of your choice Job Description You will be working closely with the Sales Team to help achieve revenue targets, the primary focus is on ensuring the efficient planning, administration, and execution of each event to the highest standards Job Type: Full Time Salary: £30,000 Key Responsibilities: · Assist the Sales Team in managing and coordinating events from initial enquiry through to post event follow-up, ensuring all event details are captured and actioned in accordance with the Event Planner Checklist. · Liaise with clients to gather key event information including menus, floor plans, timelines, guest numbers, and special requirements, ensuring smooth planning and execution. · Follow up on outstanding client actions such as signed contracts, deposits, final numbers, and menu selections in a timely manner to ensure readiness ahead of event dates. · Support the Events and Sales team in maintaining accurate and up-to-date event documentation, including function sheets, proposals, contracts, and internal briefing notes. · Work closely with the Operations and Culinary teams to communicate event details and updates, facilitating internal handovers and ensuring all departments are aligned. · Assist with the creation and maintenance of event packs including room capacities, seasonal menus, floor plans, and event imagery. · Respond to new enquiries in line with department procedures, and assist in preparing proposals that meet client needs and maximise venue capabilities. · Schedule and attend client meetings and site visits, providing professional and knowledgeable venue tours where required. · Maintain the CRM system and booking calendars with accurate, up-to-date information on confirmed and prospective events. · Provide administrative support to the wider Sales and Events Team, including diary management, data entry, document preparation, and client follow-ups. · Track event progress against checklists and deadlines, proactively identifying and resolving gaps in planning or communication.
