Job Title: Sales and Operations Coordinator
Location: Carroll Hall, East Williamsburg, Brooklyn, NY
Position Type: Full-time

POSITION OVERVIEW:

As the Sales and Operations Coordinator at Carroll Hall, you will play a critical role in ensuring smooth and seamless event execution. You will be responsible for driving sales and coordinating day-to-day operations, working closely with clients, vendors, and the small venue team. Your efforts will help grow the venue’s reputation, enhance customer satisfaction, and streamline all aspects of event planning and execution.
Key Responsibilities:

Sales & Client Relations:

  • Act as the first point of contact for prospective clients, providing them with information about the venue, available packages, and event options.
  • Respond to inquiries, conduct venue tours, and create personalized event proposals that align with the client’s needs and vision.
  • Manage the booking process from initial inquiry through contract negotiation and final payment, ensuring all details are captured and agreements are met.
  • Foster strong relationships with clients by providing exceptional customer service and offering event planning support.
  • Meet or exceed sales goals for bookings and venue usage.
  • Networking with area businesses.

Event Coordination & Operations:

  • Assist clients in designing their events, coordinating timelines, floor plans, and vendor coordination.
  • Manage event setup and breakdown, ensuring the venue is prepared and maintained to a high standard before and after events.
  • Coordinate with external vendors, including caterers, photographers, florists, and entertainers, to ensure timely and quality service delivery.
  • Oversee the use of the venue’s garden for outdoor events, ensuring it is properly maintained and prepared for each event.

Administrative & Reporting:

  • Maintain detailed records of all client interactions, bookings, and event documentation using the venue’s CRM system.
  • Assist in managing the venue’s calendar, ensuring efficient scheduling of events.
  • Handle client contracts, invoicing, and other financial documentation.
  • Generate monthly reports on sales, event metrics, and client satisfaction to help identify growth opportunities.

Marketing Support:

  • Assist in promoting the venue through social media channels and digital marketing efforts.
  • Collaborate with the team to create marketing materials, such as brochures, email campaigns, and event packages.

Qualifications:

  • Previous experience in sales, event planning, or hospitality is required..
  • Strong organizational skills with the ability to manage multiple events simultaneously.
  • Excellent communication and interpersonal skills to work effectively with clients, vendors, and staff.
  • Ability to handle high-pressure situations and remain calm under stress.
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook), and CRM systems.
  • Knowledge of event planning software or booking systems is a plus. We use TripleSeat.
  • Flexible schedule, with the ability to work evenings and weekends as needed to support events.
