Position Overview:
We are seeking a detail-oriented and organised Sales and Logistics administrator, to manage and execute the full cycle of shipping operations and invoice processing. The ideal candidate will work closely with our internal teams, clients, and logistics partners to ensure smooth and timely deliveries. This role is integral to our operations and requires proficiency in managing shipping documents and communication.

Key Responsibilities:

  • Invoice Generation
  • Create accurate invoices using our in-house software system, Myriad
  • Ensure all client billing information is correct and up-to-date
  • Shipping Document Preparation
  • Generate and manage commercial invoices, packing lists, and other export documentation
  • Ensure all documentation complies with international shipping regulations and client requirements
  • Order Staging & Shipment Coordination
  • Organize and stage goods for shipment in coordination with warehouse staff
  • Coordinate shipping logistics with couriers, freight forwarders, and internal representatives
  • Schedule pickups and track outgoing shipments
  • Client & Representative Communication
  • Serve as a primary point of contact for shipping-related inquiries
  • Communicate proactively with clients and sales reps about shipping timelines, documentation, and status updates
  • Customer Service Support
  • Respond to customer enquiries (wholesale and retail) in a timely and professional manner
  • Provide order updates, resolve shipping issues, and ensure customer satisfaction
  • Shipment Tracking & Follow-Up
  • Monitor shipment progress and provide status updates internally and externally
  • Investigate and resolve delays or issues with delivery services

Skills & Qualifications:

  • Previous experience in a similar shipping, logistics, or administrative support role preferred
  • Familiarity with invoice processing and shipping documentation (commercial invoices, packing lists, etc.)
  • Strong organizational skills and attention to detail
  • Excellent communication skills, both written and verbal
  • Ability to manage multiple tasks and deadlines in a fast-paced environment
  • Professional, customer-focused demeanor
