We are currently looking for a proactive and organised Sales & Marketing Administrator to support our Northwestern Europe commercial & marketing team in the Acute Care and Monitoring operating Unit. This role is pivotal in ensuring seamless coordination between sales and marketing functions, while also managing executive diaries and travel arrangements. You will work fully remotely however proximity to Medtronic office in Watford will be essential due to initial trainings, occasional office meetings and building an essential network with the support functions.

REQUIRED KNOWLEDGE AND EXPERIENCE:

  • Comprehensive administrative experience including executive diary management
  • Strong proficiency in Microsoft 365 (formerly Office 365)
  • Exceptional communication skills, both written and verbal
  • Self-directed problem-solving mindset, ability to work with limited supervision
  • Proven organisational abilities, with meticulous attention to detail
  • Experience of event planning & coordination

Responsibilities
  • Administrative support to the Sales Director including diary management, organizing 1:1 calls, team meetings, travel arrangements, and general communications for both leadership team and wider organisation
  • Coordinate & attend general sales meetings, arrange venue bookings, and manage organisational communications for the Sales Director, Regional Sales Managers & Marketing Manager
  • Create meeting agendas and slide decks for strategic review meetings, ensuring all materials are prepared on time and distributed appropriately
  • Process financial transactions including setting up new vendors, creating purchase orders (POs), handling invoices in collaboration with UK Admin team, and managing ad-hoc orders and credit card payments
  • Maintain marketing information systems including internal newsletters & NWE (Northwest Europe) Marketing MS Teams channel, acting as a liaison between marketing, sales and IT to resolve technical issues/procure required tools & tech stack
  • Support the Marketing Manager with Standard Operating Procedures (SOPs), shared calendars, and project trackers for campaigns, content reviews and congress timelines
  • Manage essential supporting HCP (Healthcare Professional) engagement documentation including eCATS/ONIT paperwork, customer/marketing team liaison activities, organisational charts, and distribution lists across multiple platforms
