QUALIFICATIONS

  • High school diploma or equivalent required; a combination of relevant education, training, or experience may be considered
  • A minimum of one year of administrative experience in a professional office setting; experience in a hotel front office or sales office is strongly preferred
  • Proficiency in Microsoft Office Suite required; familiarity with CRM platforms or database systems preferred
  • Strong attention to detail, data entry accuracy, and organizational skills
  • A valid driver’s license is required for employees who may operate a vehicle for work-related purposes; personal insurance coverage must be maintained
  • Must be able to perform physical tasks such as bending, kneeling, squatting, reaching overhead and at ground level, and lifting or moving items up to 30 pounds
  • Ability to safely climb stairs while carrying materials weighing up to 30 pounds
  • Frequent walking within the office and occasional movement to nearby locations required
  • Ability to remain seated and focused for extended periods when performing computer-based tasks
  • Visual and auditory ability sufficient for reading screens, operating technology, and communicating clearly in person and via telephone or video conferencing

Responsibilities

The Leisure Group Sales Coordinator provides essential administrative, logistical, and creative support to the Leisure Group Sales Department, with a focus on Student Travel, Motorcoach, Family Reunions, Church Groups, and other group segments. This role supports the planning and execution of group sales-hosted events, manages communications with community partners, and coordinates committee activities. The coordinator is expected to take initiative, contribute fresh ideas, and stay engaged across all areas of Leisure Group Sales while ensuring smooth operations and exceptional partner experiences.

  • Respond promptly and professionally to all group sales leads, including calls and emails; engages with buyers and tour operators to provide exceptional service and enters all interactions into the CRM system for accurate tracking
  • Maintains accurate records for all sponsored group sales projects, including publications and hosted events, tracking partner participation, payments, and required materials
  • Follows up with partners and guests to collect missing materials, confirm participation, and ensure all deadlines are met; learns to develop or use automated tools to streamline collection and track unsubmitted items when possible
  • Organizes and fulfills direct mail campaigns, including Requests for Information, Sales Kits, and other group sales collateral
  • Coordinates shipping logistics for group sales materials, including occasional Sales Kit fulfillment and advance shipment of supplies for leisure events, trade shows, and hosted programs
  • Manages publication tracking for the Group Tour and Reunion Planner, the Student Resource Guide, and other publications as they arise, monitoring partner sign-ups, payments, and content submissions
  • Supports the Director of Leisure Group Sales and the Finance Department in following up with partners as needed regarding outstanding materials, payments, or commitments related to sponsorships, memberships, and other group sales initiatives
  • Inputs and maintain accurate lead and client data in the CRM system, creating tags, tagging appropriately, and organizing targeted lists and groupings as needed
  • Supports the Director of Leisure Group Sales in all tasks related to trade shows and conferences, including ordering materials, coordinating with convention centers and vendors, managing transportation logistics, working with the creative team on event materials, and handling pre and post-show communications with stakeholders and external clients; expected to develop proficiency in each area to provide effective support
  • Conducts monthly and quarterly inventory of promotional materials, updates records, places reorders as needed, and ensures all items are well organized and clearly labeled
  • May assist with managing digital community groups such as Facebook or LinkedIn to ensure we are effectively engaging with tour operators, travel planners, and community partners
  • Supports Leisure Group Sales committees and task forces by scheduling meetings, preparing agendas and PowerPoint presentations, tracking attendance, taking notes, and distributing minutes for member review and approval
  • Performs other duties as assigned, including occasional evening or weekend support for group sales hosted events such as meet and greets, site tours, or industry shows
