The Sales Coordinator supports all members of the sales team across all aspects of the department, including but not limited to contracts, proposals, resumes, introductory and thank-you letters, group reconciliation, and consumption tracking. The Sales Coordinator distributes group and event information, resumes, memos, and related materials to all applicable departments, and communicates any updates, changes, or additions as needed. This role is also responsible for maintaining and updating contracts, proposals, and all related documentation through the conclusion of each function. CORE FOCUS & ESSENTIAL RESPONSIBILITIES Qualified candidates must be able to satisfactorily complete the following responsibilities. Other duties may be assigned. Coordinate and oversee the group booking process with all departments (refer to the group turnover document for more details). Complete all contracts once the information is received from the Manager. Act as the liaison between the client and hotel once a group has gone definite. Obtain all rooming lists; monitor rooming list cut-off dates; manage room blocks; and coordinate any additional client needs to ensure a successful stay at the property. Prepare, distribute, and post group resumes to the shared drive for department heads and managers. Conduct weekly group resume meetings. Provide support to the DOSM on all communications and sales projects. Conduct site inspections and pass on leads and inquiries to ensure follow-up as necessary. Input all activities into Delphi, including but not limited to proposals, contracts, letters, group bookings, activities, and site inspections. Will be responsible for receiving all leads and distributing them to the appropriate Manager. Support the Sales Team while they are traveling or out of the office on business. Help coordinate individual reservations for VIP clients, as requested by the team. Assist with PR efforts by coordinating and forwarding requests to Atelier (press). Assist with ordering and maintaining collateral and promotional materials, as well as office supplies and supplies for various event spaces, as needed. Coordinate ordering and inventory tracking of sales and marketing materials and press kits. Provide required materials (logos, images, descriptions) to select affiliates via the Ace website. Produce and coordinate purchase orders for all sales and marketing–related expenses. Coordinate and execute on-property photo shoots and filming. REQUIRED EDUCATION and/or EXPERIENCE The individual should be a high school graduate and/or possess a combination of education and experience that provides the knowledge, skills, and abilities required to effectively fulfill the core focus and essential responsibilities of this position. Knowledge of Delphi software is preferred. LANGUAGE, MATHEMATICAL, and REASONING ABILITIES Candidate must meet the following cognitive abilities: Ability to understand guests’ service needs and requests. Ability to acknowledge and respond to guests’ requests in a polite and professional manner. Ability to communicate clearly in both verbal and written English; additional foreign language skills are encouraged and preferred.
