Description We are seeking a highly meticulous and proactive Sales Coordinator to support our growing sales team. This role will be responsible for Customer Relationship Management (CRM) administration, pipeline management, sales reporting, meeting coordination, proposal support, and general sales operations. The successful candidate will serve as the organizational hub of the sales team, helping ensure opportunities move efficiently through the sales process while enabling sales representatives to focus on winning new business and achieving company targets. Requirements CRM Administration: Serve as the CRM administrator for the sales team, maintaining account, contact, opportunity, and activity records to ensure data accuracy and consistency. Pipeline Management: Monitor sales opportunities throughout the pipeline, assist with stage progression updates, and support sales forecasting and reporting activities. Proposal & Contract Support: Assist with the preparation, review, routing, and tracking of proposals, quotations, contracts, and other sales documentation. Order Processing: Receive, verify, and process purchase orders and sales contracts, ensuring accuracy in pricing, terms, and customer information. Sales Reporting & Dashboards: Develop and maintain sales dashboards, KPI reports, opportunity trackers, and forecast summaries for sales leadership. Meeting & Action Item Coordination: Organize sales team meetings, pipeline reviews, forecast calls, and customer meetings. Track action items and follow up to ensure timely completion. Cross-Functional Coordination: Coordinate internally with engineering, project management, finance, and operations teams to support customer proposals and project execution. Data Management: Maintain client databases, track sales activities, and ensure data integrity across all sales systems. Customer Communication Support: Support customer communications by coordinating responses to inquiries regarding proposals, orders, project status, and commercial matters. Process Improvement: Identify opportunities to improve sales processes, documentation, reporting, and CRM workflows to increase team efficiency. General Administration: Manage calendars, coordinate travel and meeting logistics, maintain sales documentation, and support other administrative needs of the sales team. Qualifications & Requirements Education: Associate's degree or higher in Business Administration, Marketing, or a related field preferred. Equivalent combinations of education, professional training, and relevant work experience will be considered. Experience: 3–5 years of experience in sales coordination, sales operations, sales administration, customer service, or a related business support role. CRM Experience: Experience maintaining CRM systems such as Salesforce, HubSpot, Microsoft Dynamics, or similar platforms. Technical Skills: Strong proficiency in Microsoft Office, particularly Excel, PowerPoint, Outlook, and Teams. Communication Skills: Excellent verbal and written communication skills with the ability to interact professionally across all levels of the organization. Must have a passion for taking care of the customer with timely and friendly responses. Analytical Skills: Willingness to learn and support sales reporting, dashboards, forecasts, and performance metrics. Organizational Skills: Exceptional attention to detail, strong time-management skills, and the ability to prioritize competing responsibilities in a fast-paced environment.
